With the Dubsado mobile app, Premier plan subscribers can compose an email and schedule it to be sent at any time in the future.


Overview of scheduled email sending

The ability to schedule an email allows you greater flexibility in your client communication. If you’ve ever typed up an email but decided to wait to send it, then this feature is for you!

You can jot down your thoughts when they come to you without feeling like you need to send the message straight away. Or, you can get ahead of future communication when you have some free time. And, once an email is scheduled, you can edit the email with ease if you decide it needs an update before it is sent.

If you’re on our Premier plan, start schedule sending emails to reduce your stress and free yourself up to tackle other tasks!


How to schedule an email

Scheduling an email to be sent at a later time is fast and easy. Here’s how to do it:

  1. First, navigate to a project’s Emails tab.

  2. There, tap Compose to begin writing your new email.

  3. Once you’re happy with your email, press and hold the the Send button.

  4. Choose when you’d like to send your email. You can choose one of the following options:

    • Schedule for 3 hours from now

    • Schedule for tomorrow morning at 9:00 AM

    • Schedule for one week from now

    • Or, pick a custom date and time in the future

If you choose the custom date and time option, make sure to choose a time that’s at least one minute into the future. Otherwise, you’ll receive an error when you try to finish scheduling your email.

Based on the option you’ve chosen, the app notes the exact date and time that your email will send. Double check the listed date and time, and then tap Schedule email to finish setting up your scheduled email.


Delayed email workflow

When you schedule an email to be sent in the future, you’re actually creating a one-step workflow. Since workflows are a feature that’s exclusive to our Premier plan, Starter plan subscribers aren’t able to take advantage of this feature.

To view, edit, or delete your scheduled email, navigate to the Workflows tab of the project. Or, tap the View in workflows link that appears at the top of your screen after scheduling an email to be sent later.

In the Workflows tab, your scheduled email is represented by a workflow called

Delayed Email - [Email Subject Line]. By default, the workflow shows when it was applied (when you set up the scheduled email) as well as the In progress tag if the email has not yet been sent.

To delete the Delayed Email workflow, tap the three dots icon underneath the workflow’s status.

To view the exact date and time that your email will send, tap on the workflow. The date and time that the email will send is displayed at the bottom of the action’s entry.

Just like a normal workflow, you can tap the three dots icon of the action’s entry to take actions. You can:

  • Skip and mark complete

  • Force now

  • Edit email

  • Delete

If you choose to edit the content of your email, make sure to tap Save in the top right corner of your screen when you’re finished. Editing the content of your email won’t affect the date and time that the email will be sent.

Within the mobile app, you won’t be able to alter the date or time that your scheduled email will be sent once the one-step workflow has been created.

Instead, you can copy your wording, delete the Delayed Email workflow, and then set up a new scheduled email to be sent at the correct time. You can also adjust a Delayed Email workflow by accessing the workflow on desktop.

Once your email has been sent, it will appear within the project’s Emails tab.
