The Contacts tab in Dubsado serves as your digital address book, allowing you to store and manage all your contact information in one centralized location. This tab provides a comprehensive view of every contact you've added to your Dubsado account, making it easy to access their details and maintain your client relationships.
Contact list overview
When you navigate to the Contacts tab, you'll see a table view of all your contacts. Each entry in the list displays key contact information:
Name
Email address
Phone number
Company
By default, contacts are organized alphabetically by name. You can change this with the sort control above the contact list.
Sorting and filtering options
Dubsado gives you three ways to narrow down a long contact list: change the sort order, search for a specific contact, or choose which columns appear in the table.
Sorting your contact list
To sort your contact list:
Click the sort control above the contact list
Under Sort by, select one of the following options to sort the contacts:
First Name (alphabetical)
Last Name (alphabetical)
Email (alphabetical)
Phone (numerical)
Created Date (newest or oldest first)
Click the arrow beside the sort field to switch between ascending and descending order
Searching for contacts
Use the search functionality to quickly find specific contacts:
Click the magnifying glass at the top left of the contacts table
Enter the desired Name, Email, or phone number into the search bar that appears
The list will filter dynamically as you type
Customizing displayed columns
To customize which information appears in your contact list:
Click the Display icon (sliders) above the contact list
A sidebar will open displaying the available columns:
Name
Email
Phone
Company
Toggle the eye icon next to each column name to show or hide it in the table
Click Hide all to hide all columns or individual eye icons to customize your view
Drag and drop properties into the order you wish for them to display within the table
Importing and exporting contact data
You can bring an existing contact list into Dubsado from a CSV, and export your contacts back out to a CSV whenever you need to. Both actions live in the top right corner of the contact list:
Import CSV opens a mapping tool where you match your spreadsheet columns to Dubsado fields (email is required), preview the result, and optionally create a project for each new contact.
Export CSV lets you choose which client fields to include, then downloads the file.

Managing your contact list
Adding a new contact
To add a new contact to your address book:
Click + New Contact button in the top right corner
Fill in the Contact's information. Email address is the only required field:
First name
Last name
Email address (required - primary email for communication and client portal access)
Phone number
Company
Optionally, add contact notes in the dedicated text box
These notes are for internal use only and will not be shared with the contact
Click the green Create contact button to save the new contact
Viewing and editing contact details
Click the name of any contact in the contacts table to open their record. The contact opens on the Overview tab.
The Overview tab
The Overview tab gathers a contact's key details and recent activity into one place.
The properties bar beneath the contact's name holds their email address, phone number, and company. Click any of them to copy the value. Beside them sit a Portal indicator and a View button that opens the details panel.
Four cards summarize the contact:
Projects: The number of projects this contact has.
Open tasks: Tasks for this contact that are still outstanding.
Unread messages: Messages from this contact you haven't read yet.
Events this week: Appointments and events coming up this week.
Below the cards, Recent projects lists the contact's most recent work, Client updates shows their recent activity, and This week lists their upcoming calendar events.
The details panel
Click View details to open the contact's details panel, and Hide details to close it again. You can also press I to toggle it, or use the View button in the properties bar on the Overview tab. The panel is headed by the contact's name and holds their contact information, including email address, phone number, company, and other saved details about the contact.
Contact information tabs
Each contact record shows you Dubsado content related to that specific contact, across a variety of places within Dubsado.
A contact record is organized into eight tabs:
Overview - The contact summary described above
Projects - Shows all projects associated with this contact
Messages - Client communication history
Events - Calendar events and appointments associated with this contact
Tasks - Internal tasks related to this contact
Invoices - Financial information and transactions
Forms - Contracts, questionnaires, and other documents
Notes - Internal notes and call logs for the contact. Call logs live alongside your notes here, so you can log a phone call the same way you add a note.
Click on any tab to view the relevant information.
Within each tab, you can also take action. You can:
Navigate to a project from the Projects tab
Compose a new email or reply to an existing thread from the Messages tab
View existing appointments, project dates, payment plan due dates, or tasks with due dates associated with this contact, or send the contact a new scheduling request using the Scheduler within the Events tab
Check off tasks associated with this contact within the Tasks tab
Create, edit, send, view, and manage invoices associated with this contact within the Invoices tab
Add, edit, send, view, and manage forms associated with this contact within the Forms tab
Create, edit, and view notes and call logs associated with this contact within the Notes tab
Editing contact information
To view or edit a contact's information:
Open the contact's record.
Click Edit contact, or select Edit from the contact's options menu (vertical three dots).
Update any of the following fields:

Make sure to click Save to apply changes or Cancel to discard.
Deleting a contact
To delete a single contact:
Open the contact's record.
Select Delete from the contact's options menu (vertical three dots).
In the Delete Contact confirmation, click Delete Contact.
Deleting a contact permanently removes them and all of their associated data, and it cannot be undone.
A contact that is tied to one or more projects cannot be deleted. Remove or reassign the contact's projects first, then delete the contact.
To remove several contacts at once, select them in the contact list and delete them together with the bulk actions. Any selected contacts that still have projects are kept, so remove those projects first if you want them gone. For more on working with multiple records at once, see taking bulk actions.
FAQ
What to do if I can't find a contact using the search bar?
The search functionality only searches within the Name, Email, and Phone fields. Make sure you're searching using the contact's name, email address, or phone number. The search is case-insensitive and searches partial matches.
What if my CSV import is showing incorrect field mappings?
Review the field mapping carefully before importing, and adjust the mapping using the dropdown fields as needed. The system shows a preview to help verify correct mapping. Ensure the Email field is always mapped as it's required for contact creation.
How do I delete contacts I imported?
Sort your contact list by Created Date to group your most recent imports together, then select the contacts you want to remove and delete them with the bulk actions. Contacts attached to a project are kept until you remove those projects first. See taking bulk actions for more on selecting multiple contacts at once.
