Using form response summaries

When clients complete forms in Dubsado, the form response summary gives you a clean, organized view of their answers. You can view, copy, and export responses without sorting through the full form layout.


Accessing form response summaries

There are two main ways to access form response summaries:

From a project:

  1. Select any project from your Projects list

  2. Click the Forms tab at the top of the project

  3. Select a completed form from the list

  4. Click the Responses tab at the top of the form viewer

From the Forms section:

  1. Click Forms in the left-hand navigation menu

  2. Navigate to All forms or Completed forms to see only completed forms

  3. Select a completed form from the list

  4. Click the Responses tab at the top of the form viewer

The response summary will only appear for forms that have been completed by your client.


Viewing options

Responses vs. preview

When viewing a completed form, you'll see two tabs:

  • Responses – Shows only the submitted data in a clean, easy-to-read table format

  • Preview – Shows the full form design with responses filled in, exactly as the client saw it

Use the Responses tab for quick scanning and data review. Use the Preview tab when you need to see the form layout or verify how questions were presented to the client.

Show or hide empty fields

By default, empty fields are hidden to reduce clutter and keep your view focused on the information your client provided.

To see all fields, including those left blank:

  1. Scroll to the bottom of the responses

  2. Click Show empty fields


Form elements that display in the summary

The form response summary displays answers from the following form elements:

  • Short answer

  • Free response

  • Checkboxes

  • Date select

  • Signature

  • File upload

  • Package

  • Multiple choice

  • Dropdown


Supported form types

The response summary works with the following form types:

  • Contracts

  • Questionnaires

  • Proposals

  • Lead capture forms

  • Sub-agreements

Forms that do not support the response summary:

  • PDF forms (uploaded PDFs cannot be parsed for responses)

  • External link forms (forms that redirect to external sites)

For unsupported form types, you'll only see the Preview tab.


Exporting responses

Copy to clipboard

To copy an individual response from the summary table, click the squares icon on the right side of an entry.

To quickly copy all responses for pasting into another document, email, or message:

  1. Click the actions menu (three dots icon) in the top right corner of the responses view

  2. Select Copy responses

  3. Paste the copied text wherever you need it

Responses are formatted as plain text with each question and answer on its own line.

Export to CSV

To export responses as a spreadsheet file:

  1. Click the actions menu (three dots icon) in the top right corner of the responses view

  2. Select Export responses to CSV

  3. Open the downloaded file in Excel, Google Sheets, or any spreadsheet application


Viewing uploaded files

When clients upload files (photos, documents, PDFs, etc.) through a file upload element:

  1. Look for the File upload field in the responses table

  2. Click on any file thumbnail to open it in a new tab

  3. Click Download all to download all files from that field at once

File preview features:

  • Image files display thumbnail previews

  • Non-image files show a file icon

  • Hover over thumbnails to see the full filename


FAQ

Why am I seeing a "No form fields found" message?

This message can appear for a few reasons:

  1. The form hasn't been sent yet – send the form to start collecting responses

  2. The form was sent but the client hasn't completed it yet – responses will appear once they submit

  3. The form contains only display elements (text, images) with no input fields

Why does it say "All fields are empty"?

The client submitted the form but didn't fill in any fields. Click Show all fields to see the form structure and verify which fields were included.

Consider making some questions on your form required if you want to ensure that clients answer them before submitting.

I'm expecting to see responses but don't see them. What should I check?

If you expect to see responses but the summary appears empty:

  1. Check the form status – is it marked as Completed?

  2. Verify the form type – PDF forms and external link forms don't collect responses

  3. Refresh the page to ensure you have the latest data

Will this work for forms created before this feature launched?

Yes. All existing forms work with the form response summary, regardless of when they were created.

Can I export responses from multiple forms at once?

No. You need to export each form individually.

What happens if the form has nested sections?

The summary automatically flattens nested structures and shows all responses in a single table.

Can I customize which fields appear in the export?

Currently, exports include all non-empty fields. You cannot customize which fields are included.
