By default, anyone with a link to your form can view it. Password protection adds an extra layer of security by requiring clients to log in to their client portal before they can access the form.
Turn on password protection
You can enable password protection from the form builder, whether you're working on a form template or a form that's already been added to a project.
You can password-protect a form template so that every form created from it requires a password by default, or password-protect an individual project form without affecting the template.
To enable password protection on a form template:
Navigate to Forms β Form templates and select the template you want to edit.
Open the form in the form builder.
Select the Settings tab in the form builder sidebar.
Under General settings, toggle Password protection to Yes.
Save the form.
To enable password protection on a project form:
Navigate to Forms and select the project form, or navigate to Projects, open the project, select the Forms tab, and select the form.
Open the form in the form builder.
Select the Settings tab in the form builder sidebar.
Under General settings, toggle Password protection to Yes.
Save the form.
Set up the client portal
Before you send a password-protected form, the client's portal must be active and have a password set. Password protection works by requiring your client to log in to their client portal β if the portal is inactive or has no password, the protection won't work as intended.
If no custom password is set for the client portal, the portal can be accessed with the contact's email address alone. Make sure to set a password before sending a password-protected form.
To set up the client portal for a project:
Navigate to Projects and open the client's project.
In the project overview, locate the Portal card and expand it.
Toggle the portal switch to activate it. The status text will update to show that the portal is online.
In the Password field, enter a password for the portal. Click the checkmark icon to save.
To share the portal credentials with your client, click Share on the Portal card and select Send link. This opens the email composer with the Send Portal email template pre-loaded.
When your client receives the email and clicks the link, they will be prompted to log in to their portal using the password you set. Once logged in, they can access the password-protected form from within their portal.
FAQ
Which form types can be password-protected?
All form types can be password-protected, including lead capture forms, proposals, questionnaires, contracts, and sub-agreements. Password-protected lead capture forms are still publicly visible when embedded on a website β but the completed form requires a portal login to view.
Can my client create their own portal password?
No. Portal passwords can only be set by you from the project overview.
Does my client need to enter the password every time they view a form?
No. If your client is already logged in to their portal, they can access password-protected forms without entering the password again.
What happens if the client portal is not active?
Your client will not be able to access the form. The portal must be active, and your client needs the portal password to log in and view the form.
