How to send an invoice to a client via email, copy the invoice link, or download it as a PDF.

Send invoices to your clients directly from Dubsado via email, shareable link, or PDF download. You can also automate invoice delivery using flows.


Locate and open your invoice

Before you can send an invoice, you need to open it from the invoice detail view. You can reach any invoice from a few different places, depending on where you are in Dubsado.

You need to create an invoice before you can send it, whether you build it manually or generate it from a proposal.

To open an invoice from the Invoicing page:

  1. Navigate to the Invoicing page.

  2. Select the invoice from the list.

To open an invoice from a project:

  1. Open the project.

  2. Click the Invoicing tab.

  3. Select the invoice from the list.

To open an invoice from a contact:

  1. Open the contact.

  2. Click the Invoices tab.

  3. Select the invoice from the list.

You can access invoices from the Invoicing page, a project's Invoicing tab, or a contact's Invoices tab. All three paths open the same invoice detail view.


Send an invoice via email

Sending an invoice via email is the most common way to share an invoice with your client. Dubsado opens an email composer pre-filled with the invoice link so you can review and edit before sending.

  1. Open the invoice.

  2. Click Share in the invoice detail header.

  3. Click Send. The email composer opens with the client's email address pre-filled, the subject line populated from the Send Invoice default template, and the email body containing a link to the invoice.

  4. Edit the subject, body, or recipient as needed.

  5. Click Send in the email composer to deliver the email.

The email includes a clickable link to the public invoice page where your client can view and pay. You can change the recipient in the To field to send the invoice to someone other than the primary contact.

The email composer pre-fills using the Send Invoice default template. You can customize this template at Messages ➔ Default templates ➔ Send Invoice.

Copy the invoice link

If you want to share the invoice through a channel other than email, copy the invoice link and paste it wherever you need.

  1. Open the invoice.

  2. Click Share.

  3. Click Copy Link. The invoice URL is copied to your clipboard.

You can paste this link into any communication channel, such as email, text, or chat. The link opens the same public invoice page your client would see from an emailed link.


Download the invoice as a PDF

Download a PDF copy of the invoice when you want to attach it to an outside email or save it for your records.

  1. Open the invoice.

  2. Click Share.

  3. Click Download as PDF. The invoice downloads as a PDF file.

You can attach the downloaded PDF to an email outside of Dubsado or keep it as a record.

Sending an invoice as a PDF attachment is a manual process. If you want Dubsado to email the invoice link directly, use the Send option instead.


Preview the invoice

You can preview an invoice exactly as your client will see it before you send it.

Click the three dots menu (...) in the invoice detail header, then select View invoice. The client-facing invoice opens in a new browser tab so you can confirm the details look right before sharing.


Send an invoice automatically with a flow

Automate invoice delivery by adding the Send Primary Invoice action to a flow. A flow can send the invoice for you when a project reaches a specific point in your process, so you do not have to remember to do it manually.

A flow always sends the project's primary invoice. Each project has one primary invoice at a time, so if a project has multiple invoices, only the primary invoice is sent by the flow.

To set an invoice as primary:

  1. Open the invoice.

  2. Click the three dots menu (...) in the invoice detail header.

  3. Select Make this Invoice Primary.

You can manage your flows from the Flows page or from a project's Flows tab.

A flow always sends the primary invoice. If your project has multiple invoices, make sure the correct one is marked as primary before the flow triggers.


Invoices in the client portal

Any invoice with a balance greater than $0 automatically appears in your client's portal, even if you have not yet emailed the invoice. Keep this in mind when deciding when to give your client access to their portal.


FAQ

How do I check if my client received and opened the invoice email?

Open the project and click the Messages tab. Find the email that contained the invoice link. The message detail shows whether the email was delivered and whether your client opened it.

The invoice is not sending and I am getting an error. What should I do?

There may be an issue with your email connection. Navigate to Messages ➔ Settings ➔ Emails or Settings ➔ Emails to disconnect and reconnect your email. If the issue persists, check that the contact has a valid email address.

I have multiple invoices on a project. How do I know which one the flow will send?

A flow always sends the primary invoice. You can check and change which invoice is primary from the invoice detail view. Click the three dots menu (...) and select Make this Invoice Primary.

Can I send an invoice to someone other than the primary contact?

Yes. When the email composer opens after clicking Share ➔ Send, change the recipient in the To field to any email address.
