Dubsado email integration basics

Connect your email account with Dubsado to send outgoing emails from your own email address and see client replies inside your projects.

Connecting an email account is one of the first things to set up in your new Dubsado account. It lets you send emails from your own address and keeps a record of every conversation with your clients right inside their projects.


Connect your email account

Navigate to Settings ➔ Emails, or open Messages ➔ Settings. Both take you to the same Emails page, where you'll find the Connect an account section.

Choose a connection method based on the type of email account you have:

  • Continue with Google, for Gmail addresses and custom domain emails set up through Google Workspace.

  • Continue with Microsoft, for Outlook and Microsoft 365 addresses.

  • Connect with SMTP, for any other email provider. Presets are available for popular providers, plus an Other option for manual configuration.

Once connected, the section header updates to Connected account.

You can't connect an alias email address. If the address doesn't have its own password, it can't be connected to Dubsado.

Your connected email address doesn't have to match the email address you use to sign in to Dubsado.

As the workspace owner, you need to verify your login email before you can send emails through Dubsado. If you haven't verified yet, look for the verification banner at the top of your screen and click Send new link to get a new verification email.

Email limits and one account per workspace

Without a connected email address, you can send only 3 emails every 24 hours through Dubsado. Connecting an address removes this limit entirely.

You can connect only one email address per workspace. Additional team members in your workspace can't connect their own email accounts, so it's worth choosing an address the whole team can access.

Outgoing email

Once you connect an email account, anything you send from Dubsado is delivered from your own email address. Until you connect an account, emails sent to your clients come from mail@dubsado.com, which is more likely to end up in a client's spam folder since it doesn't appear to come from you directly. Connecting your own address, along with setting up your deliverability records, helps make sure your emails land where they should.

Sending to primary and alternate contacts

An automated email sent through a flow only goes to a project's primary contact. Dubsado doesn't send automated emails to multiple addresses at this time.

To reach more than one address, send the email manually instead. Any alternate email addresses associated with the primary contact are automatically CC'd.


See when a client opens your email

The Add tracking pixel toggle, found on the same Emails settings page, lets Dubsado track when a client opens an email you sent. This option only appears once you've connected an email account.

Read receipts may not always be accurate. This depends on the recipient's email app and its privacy settings.

To check whether a client has opened an email, open the project's inbox and look for a Last Viewed timestamp next to that email.

If you BCC yourself on an outgoing email and open that email outside of Dubsado, Dubsado marks it as read by the client.

To receive a copy of every outgoing email in your own inbox, turn on the Bcc me on all outgoing email toggle at Settings ➔ Name & Sign-in. This setting saves automatically.


Incoming client replies

When a client replies to an email sent from Dubsado, their response lands in both your regular email inbox and the Dubsado project.

Emails from contacts saved in your address book appear in your Dubsado inbox, where you can assign them to a project as needed.

If you reply to a client from your regular email inbox instead of from inside Dubsado, that reply won't be logged in Dubsado. Reply inside Dubsado whenever you want a complete record of the conversation.

You can't import outside emails

You can't manually import or forward outside emails into Dubsado. For a reply to appear in Dubsado, a client has to reply to an email thread that originated from Dubsado.


FAQ

Can I connect more than one email address?

No. Dubsado supports one connected email account per workspace, and additional team members can't connect their own accounts. Choose an address the whole team can access so everyone can send and track email from the same place.

Can I send a mass email or newsletter to clients?

No. Dubsado is built for one-to-one communication with your clients, not email marketing or newsletters. If you want to send newsletters, you can pass client data to an email marketing tool through Zapier whenever a new project is created.

However you can take bulk actions with projects, including sending bulk emails. See Taking bulk actions for more info.

Can I reply to client emails from my regular inbox?

You can, but that reply won't be logged in Dubsado. Reply from inside Dubsado whenever you want a full record of the conversation with your client.
