An email template is a saved, reusable email you can drop into a message instead of typing it out every time. This article covers applying one when emailing a client from a project, plus every other place in Dubsado where you can pull from your saved templates.
What is an email template
An email template is a saved subject line and body you can reuse across your client communication. Templates can include smart fields that fill in project-specific details automatically, and they can link out to a form your client needs to complete. You create and manage your templates at Messages ➔ Custom templates.
Apply an email template in the email composer
Open the project and click the Messages tab, or go to the Messages app, to start an email.
Click Compose at the top of the Messages navigation to open a new email.
In the composer toolbar, click the Templates button.
In the popover, search for a template or browse the Custom Templates and Default Templates sections. Templates whose tags match the project rise to the top of the list, followed by the rest in alphabetical order.
Click a template to apply it.
Applying a template fills in both the subject line and the body of the email. Any smart fields in the template populate automatically with the project's details, so your client sees real information instead of placeholder text. If the template includes a smart field link, that link carries over too. Check out Using smart field links in email templates for more information.
The Templates button is available in both a new email and a reply, so you can pull in a template no matter where you are in the conversation.
Choosing a new template replaces whatever's currently in the email, including any edits you've made. If you edit a template's text after applying it and then pick a different template, those edits are gone for good, even if you switch back to the first template afterward.
Where else you can use email templates
The same template library follows you across Dubsado. Anywhere you see the Templates button or an email template picker, it's pulling from the same saved list. Build a template once and reuse it in any of these places.
Messages. Apply a template manually from a project's email composer, as described above.
Flows. The Send Email flow action lets you build an automated email from a template, so the same message you'd send by hand can go out on its own.
Schedulers. A scheduler's confirmation, invitation, and reminder emails can each be set to use one of your templates.
Payment plan reminders. Each reminder on a payment plan can be assigned a template, so clients get a consistent message when a payment is coming due.
FAQ
Why did my template edits disappear when I picked a different template?
Selecting a new template replaces the body and subject line, including any edits you made to the previous one. Those edits aren't restored if you switch back, so finish editing one template before you move to another.
Can email templates include personalized info like the client's name?
Yes. Templates can contain smart fields that fill in the client's and project's details automatically when you apply the template.
Can I use the same template in an automation instead of sending it manually?
Yes. The Send Email action in a flow draws from the same email templates you use when composing manually, so you can automate a message you'd otherwise send by hand.
