Track where your inquiries are coming from and measure how well different lead sources perform.
Overview of project reports & project sources
Project reports give you insight into where your projects originate and how those sources contribute to your business success. By tracking project sources and analyzing their performance, you can make informed decisions about where to focus your marketing efforts.
Within the project reports page, you can:
View key metrics about project creation and conversion rates
Analyze trends in project creation over time
Compare performance across different lead sources
Create and manage your project sources
Accessing project reports
Navigate to Insights ➔ Project reports in the sidebar. This opens the full project reports page where you can view detailed metrics and manage your project sources.
You can also open it from the Project Reports widget on your Home page by clicking its header link.
Using your key performance metrics
At the top of the project reports page, four metrics provide a snapshot of your business activity for the selected time range:
Projects created: The total number of projects created during the selected timeframe, including the number of projects without an assigned source.
Net profit: Your total profit for the selected timeframe, displayed alongside your total revenue.
Avg. projects/week: The average number of projects created per week, including the average number of projects created without a source.
Conversion rate: The percentage of projects that have received at least one payment compared to your total number of projects.
Setting your timeframe
At the top of the page, click the date range to adjust the timeframe for all metrics and charts. You can select from preset options including:
Last 7 days
Last 14 days
Last 30 days
Last 60 days
Last 6 months
Last 12 months
Month to date
Quarter to date
Year to date
Custom date range
If your charts appear empty, verify that you have selected a timeframe that includes project activity.
Project sources
You can create project sources from three locations within Dubsado.
Creating project sources from the project reports page
Click + New source in the Sources section.
Enter a name for your source.
Choose a color for the source. The color is purely aesthetic and internal, and helps you visually differentiate sources in your reports.
Click Create.
Creating project sources from the form builder
When using a project tracking element within a form, you can create new sources directly in the form builder.
Add a Project tracking element to your form.
In the element settings, view the list of existing project sources.
Click New project source to create a new source without leaving the form builder.
Creating project sources from a Source dropdown
You can also create a source at the moment you need it, without leaving the project you're working on.
Open a Source dropdown, either from the Projects page or from inside a project.
In the Search or create source field, type the name of the source you want.
If no existing source matches, click Create beside the new source chip.
Dubsado assigns a color automatically, which you can change at any time. The source is created and assigned to that project in one step.
Editing a project source
You can edit a source from the project reports page or from any Source dropdown.
On the project reports page, click the source row in the table at the bottom of the page. From there, you can update the source name or change its assigned color.
In a Source dropdown, click the name of the source you want to change. The menu holds an editable name field, a Color swatch grid, and a Delete button. Press Enter or click outside the name field to save a new name. Each source is shared, so renaming or recoloring it updates that source everywhere it is assigned.
Clicking Delete opens a Delete source? confirmation dialog. Click Delete to confirm. Deleting a source removes it from every project it was assigned to, and it cannot be recovered.
Assigning project sources to projects
There are two ways to assign a source to a project:
Automatically via a form: Add a project tracking element to a Lead Capture form, Questionnaire, or Proposal. When a client selects a source option while completing the form, their project is automatically tagged with that source.
Manually: On the Projects page, click the Project Source cell on a project's row to edit it inline. Inside a project, click View details to open the details panel, then use the Source row of the Project info card.
Understanding your project reports charts
The project reports area offers 3 distinct ways to analyze your projects.
Projects created chart
Below the key metrics at the top of the page, a line graph displays project creation trends over the selected timeframe. This visualization helps you identify patterns in when new projects are coming in.
To filter the chart by specific project sources, click the Filter icon (funnel) beside the Projects created heading and select which sources you want to display.
Projects by source chart
Further down the page, a bar graph compares the number of projects generated by each source. This makes it easy to see which marketing channels bring in the most inquiries.
To also display revenue data alongside project counts, toggle Show revenue, beside the Projects by source heading.
Source performance table
At the bottom of the page, a table lists all of your project sources along with their performance data:
Source name: The name of the project source.
Paid projects: The number of projects from this source that have received at least one payment.
Total projects: The total number of projects assigned to this source.
Conversion rate: The percentage of projects from this source that converted to paid projects.
Use the search bar above the table to find a specific source by name.
Understanding conversion rate
Your conversion rate shows how well projects from each source convert into paying clients. A project is considered "converted" when it has received at least one recorded payment. The conversion rate is calculated by dividing the number of paid projects by the total number of projects for each source.
Viewing projects by source
Click the arrow icon on the right side of any source row to open the main Projects page, automatically filtered to show only projects with that source assigned within the selected timeframe.
FAQ
Can I assign more than one source to a project?
No. Each project can only have one source assigned. Choose the source that best represents where the inquiry originated.
What happens if I delete a project source?
If you delete a source, it will be removed from the source list, and any projects previously assigned that source will be considered to have no source. This affects your reporting metrics for projects without sources.
If I assign a source to an old project, how does that affect my reports?
Metrics for project sources are calculated based on each project's created date. If you assign a source to an old project, that project will only appear in the source metrics when your selected date range includes the time when that project was originally created.
Why do my charts show no data?
If your charts appear empty, check the date range selected at the top of the page. Make sure you have selected a timeframe that includes the dates when your projects were created.
