Send multiple Dubsado links in one email

How to include multiple form, invoice, contract, and scheduler links in a single email sent through a project.

When you need to send a client multiple documents at once, you can include form, contract, invoice, and scheduler links in a single email composed from within a project.


Before you begin

Each item you want to link must already be added to the project. The Project links button only shows items that are part of the project β€” not your entire template library.

Here is where to add each document type:

  • Forms and contracts: Forms tab within the project

  • Schedulers and scheduler groups: Events tab within the project

  • Invoices: Invoicing tab within the project

You do not need to send or apply documents to the client portal before linking them. Adding them to the project makes them available in the Project links menu.

Inserting project links into an email

Once the desired items are added to the project, you can insert links to any of them into a single email.

  1. Navigate to Projects βž” select a project βž” Messages tab.

  2. Click Compose to open a new email draft.

  3. Write your email body. Place the cursor where you want to insert a link.

  4. Click Project links in the email editor toolbar.

  5. Select an item from the dropdown. You can search by title using the search bar. The link is inserted at the cursor position.

  6. Repeat steps 4 and 5 for each additional item you want to include.

  7. Send the email when ready.

You can also use Project links when sending a document directly from its tab. For example, if you click Send on a form, the email draft that opens still has the Project links button, so you can add additional document links to that same email without starting from scratch.


FAQ

Can I send multiple Dubsado items in one email using a flow?

No. Each flow action can include only one Dubsado item β€” one form, one contract, one scheduler, and so on. To send multiple document links in a single email, compose the email manually.

An item I added to the project is not showing up in the Project links dropdown.

Confirm the item was added through the correct tab: Forms for forms and contracts, Events for schedulers, and Invoicing for invoices. If the document was recently added, try refreshing the page.

Can I use Project links in a bulk email?

No. The Project links button is only available in the email composer within a project. It is not available when sending bulk emails to multiple contacts at once.

Is this different from using smart field links in an email template?

Yes. Project links insert links to specific Dubsado items already added to a particular project, and are available only in the email composer within a project. Smart field links in email templates are placeholder tokens that resolve to the correct client-facing URL when the email is sent. Use Project links for one-off project emails; use smart field links for reusable templates.
