Scheduler groups let you combine multiple scheduler templates into a single link so your clients can choose the appointment type that fits their needs. This guide covers creating, configuring, sharing, and managing scheduler group templates.
Scheduler groups overview
A scheduler group is a landing page that presents multiple individual schedulers side by side. Your client picks the appointment type they want, then completes booking through that individual scheduler as usual. If they change their mind, they can click Back on the booking page to return to the group and choose a different option.
When a client books through a scheduler group:
Confirmation and reminder emails come from the individual scheduler they booked with, not from the group itself.
The group only controls one email: the invitation email used to invite a client to choose an appointment type.
Scheduler groups are available on the Premier plan. Free trial users can access scheduler features during the trial period.
Creating a scheduler group template
Before creating a scheduler group, make sure you have at least two individual scheduler templates already set up. You can set those up from the Events section — see the scheduler templates article for a full walkthrough.
Once your individual schedulers are ready:
Navigate to Events ➔ Group Templates.
Click the + icon at the top of the page (tooltip: Create new template).
A new group is created with the title "New Scheduler Group" and opens in the group builder.
Click the title in the builder header and type a name for your group.
The group builder auto-saves your changes as you work, so there's no save button to click.
The builder has two main sections: Schedulers (where you add and arrange your individual schedulers) and Scheduler Group Settings (where you configure the invitation email).
Adding schedulers to a group
After creating a scheduler group, you need to add the individual schedulers that clients will choose from.
In the group builder, click Add schedulers.
In the Add schedulers modal, check the box next to each scheduler you want to include. Each card shows the scheduler title, duration, location, and availability type.
Click Apply changes.
The modal requires you to select at least two schedulers before Apply changes becomes active. Once added, the metadata row shows a count of how many schedulers are in the group.
To rearrange the order in which schedulers appear on the client booking page, drag and drop the scheduler cards within the Schedulers section.
Setting the invitation email
The invitation email is the message clients receive when you send them a scheduler group directly — either manually from a project or automatically through a flow. It is not used when you share the group publicly via a link or embed code.
Under Scheduler Group Settings, the Invitation email card lets you select an email template from the dropdown. To customize the subject line or body for this group specifically:
Select an email template from the Select invitation email template dropdown.
Click the edit icon (pencil) to expand the customization fields.
Edit the Subject line and Body as needed.
Include the Scheduler group smart field (found under Links in the smart field picker) in the email body so clients receive a clickable link to the booking page.
Editing the email inline does not affect the original email template — a note in the UI confirms this. The changes apply only to this scheduler group.
Setting a custom invitation email on the group does not override the invitation emails configured on the individual schedulers within the group. Each individual scheduler continues to use its own invitation email when sent on its own.
Sharing a scheduler group
There are two ways to share a scheduler group: publicly (via a link or embed code) or directly through a project. The right approach depends on whether you're inviting a new lead or sending to an existing client.
Sharing publicly
To share a scheduler group with anyone — on your website, on social media, or in a direct message outside of Dubsado:
In the group builder header, click the Share button.
In the popover that appears, choose how to share:
Public Link — Click Copy Link to copy a direct link you can share anywhere.
Embed Code — Click Copy Code to copy HTML you can paste into your website to embed the booking page directly.
If you share a scheduler group publicly, make sure each individual scheduler in the group has a lead capture form or public proposal attached. This ensures a project is created when a new client books through the group.
If you send a scheduler group directly to an existing client (through a project), do not add lead capture forms or public proposals to the individual schedulers. Doing so would create duplicate projects.
Sending through a project
You can send a scheduler group from within a specific project in two ways.
From the group builder:
In the group builder header, click the Apply to Project button (folder icon, tooltip: Apply to Project).
In the popover, select the project from the picker.
Click Apply to Project.
After applying, the email composer opens with the invitation email pre-filled so you can send it to your client right away.
From a project's Events tab:
Open the project and go to the Events tab.
Click Add Scheduler.
In the Select a scheduler to send modal, fill in the fields:
Project — pre-filled with the current project.
Scheduler or group — select your scheduler group from the picker.
Sending options — choose how you want to proceed:
Invite client to book — opens the email composer with the invitation email pre-filled.
Book for client — opens the public booking page so you can complete the booking on behalf of your client.
Apply to project only — makes the scheduler group available in the project without sending an email.
Click Continue.
When you add a scheduler group to a project, each individual scheduler from the template is copied into the project. You can edit those copied schedulers within the project without affecting your group templates.
In project mode, the group builder header shows a Send button (paper plane icon) and an Open button (external link icon) so you can send or preview the group from within the project context.
Sending a scheduler group through a flow
You can also send scheduler groups automatically using a flow. When building a flow, add the Send Appointment Scheduler action and use the Scheduler picker — it shows both individual schedulers and scheduler groups in one combined list. Select your scheduler group from there.

Managing scheduler group templates
You can edit, duplicate, archive, or delete a scheduler group from the group builder header. There is no separate gear menu — all actions are available as individual icon buttons.
Edit the title — Click the title in the builder header and type a new name. Changes auto-save.
Duplicate — Click the Duplicate button (copy icon, tooltip: Duplicate) to create a copy of the group.
Archive — Click the Archive button to archive the group. Archived groups can be restored from the same button.
Delete — Click the Delete button (trash icon, tooltip: Delete). A confirmation dialog titled Delete Scheduler Group? appears. Click Delete to confirm. Deleted groups cannot be recovered.
You can also apply tags to a scheduler group template using the tag selector in the metadata row. Tags are available in template mode only.
FAQ
Do confirmation and reminder emails come from the scheduler group?
No. Confirmation and reminder emails are sent from each individual scheduler the client booked with, not from the group itself. The scheduler group only controls the invitation email that sends clients to the group booking page to choose an appointment type.
Can I edit individual schedulers after applying a group to a project?
Yes. When you apply a scheduler group to a project, each individual scheduler is copied from the template into the project. You can edit those project copies freely without affecting your original scheduler templates or the group.
What is the minimum number of schedulers I can include in a group?
You need at least two schedulers in a group. The Add schedulers modal requires selecting at least two before you can click Apply changes.
Can I reorder the schedulers in my group?
Yes. In the group builder, drag and drop the scheduler cards to rearrange the order in which they appear on the client booking page.
