Send transaction receipts to clients

Learn how to provide transaction receipts to your contacts using the Dubsado invoice as the receipt document.

The Dubsado invoice serves as the transaction receipt for every payment a contact makes. Completed payments are listed directly on the invoice, so you can send the invoice itself as the receipt.


How receipts work in Dubsado

A Dubsado invoice itself lists every completed payment, so functions as the receipt whether your contact paid through Dubsado Payments, Square, PayPal, or an offline method you logged manually.

If your contact paid through Dubsado Payments, they also receive an automatic transaction receipt by email at the time of payment, separate from the invoice itself.

Your contact can also see their payment history any time by revisiting their invoice link. The public invoice page lists every completed payment, so it works as a self-service receipt they can return to whenever they need it.


Download the invoice as a PDF receipt

Once you've sent an invoice and your contact has made a payment, you can download the invoice as a PDF to hand them a standalone receipt.

  1. Open the invoice from the Invoicing page, or open the project and click the Invoicing tab.

  2. Click Share on the invoice.

  3. Select Download as PDF.

The PDF includes every line item, your totals and taxes, and the list of completed payments, which is what makes it usable as a receipt.

If you'd rather send your contact the invoice link instead of a PDF, use Share ➔ Send to email the invoice, or Share ➔ Copy Link to copy the public invoice URL. Your contact sees all completed payments on that page. Sharing is disabled until the invoice is saved and assigned to a project.

Log an offline payment so it appears on the receipt

If your contact paid you in cash, by check, or another offline method, you need to log that payment on the invoice yourself before it can appear as part of the receipt.

  1. Open the invoice from the Invoicing page, or open the project and click the Invoicing tab.

  2. In the invoice details column, open the Transactions tab.

  3. Click Payment in the New transaction dropdown, or + Log a payment in the empty state if the invoice doesn't have any transactions yet, to open the Log payment dialog.

  4. Set the Date, and select the Payment method that matches how your contact actually paid (cash, check, credit, e-transfer, PayPal, Stripe, Square, Authorize.net, or other).

  5. Enter the Amount. Add a Description if you want (optional).

  6. Click Log Payment.

The logged payment then appears in the invoice's transaction history, on the public invoice, and on any PDF you download afterward. If the invoice has unsaved line item edits, save those first: logging a payment is disabled until you do.

Show your contact their payment history

Your contact doesn't need to wait for you to send them anything. They can revisit their invoice at any time to see every payment they've made.

  1. From the invoice, click the more options menu (⋯) and select View invoice to open the exact page your contact sees, in a new window.

  2. Share that page any time using Share ➔ Copy Link or Share ➔ Send.

Every completed payment your contact has made appears on that page, so it works as an ongoing, self-service receipt.


FAQ

Does Dubsado generate a separate receipt document?

Only if a payment was received via Dubsado Payments. Otherwise, the invoice itself acts as the receipt because it lists every completed payment. Send your contact a PDF of the invoice, or share the invoice link with them directly.

My contact paid through Dubsado Payments. Did they get a receipt automatically?

Yes. Dubsado Payments automatically emails your contact a transaction receipt at the time of payment, separate from the invoice itself.

My contact paid me with cash. How do they get a receipt?

Log the offline payment on the invoice first (open the Transactions tab and click Payment, or + Log a payment), then send your contact the updated invoice as a PDF or a shared link. The logged payment appears on both.

Can my contact see a list of all their payments?

Yes. The public invoice page lists every completed payment. Share the invoice link with your contact and they can revisit it any time.

I refunded my contact. Does that show up on the receipt?

Yes. Refunds appear in the invoice's Transactions section right alongside payments, so a refunded transaction still shows up on the receipt view. For how to issue one, see Issue a refund through Dubsado Payments.
