Custom mapped fields make Dubsado YOUR system. We provide a number of fields by default for basic client and project info (i.e. client's name, project date, etc.), but you can add fields that are relevant to your business so you can capture all the information you need.

What is a Custom Mapped Field?

A custom mapped field is a place on a client profile or project to store information in the form of text or a date. What makes it custom is that you choose what information the field is for!

The information could be the client's primary brand color if you're a web designer, or a dog's name if you're a pet photographer, or the date of a dress fitting if you're a wedding planner.

Client vs. Project Custom Mapped Fields

When creating a custom mapped field, you have two options on where the information will be stored - client profiles or projects.

Custom Mapped Client Fields

A custom mapped client field will store information within the client profile. If you have a client who has multiple projects with you, this client info will show on each project since it is tied to the client, so you should only store information in a custom mapped client field that is not project-dependent.

A few examples of uses for custom mapped client fields include:

  • Birthday

  • Social Media Info

  • Family details, number of children, etc.

Custom Mapped Project Fields

A custom mapped project field will store information within a project. This is perfect for project-specific details because the info will not be tied to the client.

A few examples of uses for custom mapped project fields include:

  • Second project location

  • Wedding color scheme

  • Number of guests


How to Add a Custom Mapped Field

  1. Go to your Brand Settings (gear icon) >> Custom Mapped Fields.

  2. Click either the Client or Project tab depending on which type of custom mapped field you'd like to create.

  3. Once under the Client or Project tab, click Create.

  4. Give your custom field a Name. This is how you will identify it.

  5. Select a Type for your custom field based on what you want to store. Choose short answer if the information will be text or date if the information will be a date.

  6. Click Save.


Using Custom Mapped Fields

Using a custom mapped field is just like using any of the other default fields in Dubsado, such as the client's first name. We'll go over capturing info in a custom mapped field on a form, how to enter info manually, and how to display the contents of a custom mapped field in a form or email using a smart field.

Saving Information Entered on a Form to a Custom Mapped Field

Information can be captured and stored in a custom mapped field by mapping a short answer or date select form field.

When you created your custom mapped field, you selected which type of field it would be. If your custom mapped field is a "short answer" type, you'll use a short answer form field. If your custom mapped field is a "date" type, you'll use a date select form field. You cannot map a date type custom mapped field to a short answer form field or vice versa.

After adding the appropriate question to your form, simply click on it to set where it maps to. In the example below, a date select form field is being mapped to the Client Birthday custom mapped field. Now whatever date the client enters here will be stored in the Client Birthday field in their profile.

Manually Entering Information in Custom Mapped Fields

Sometimes you won't want your client to enter all of the information themselves. Perhaps you made note of the details during a meeting and want to enter the information yourself.

It's quick and easy! Just open the project where you would like to fill in one or more custom fields.

If it's a client mapped custom field, click on the pencil icon next to the Client section in the sidebar. The client profile will open - just scroll to the bottom to find the custom fields. Enter the information and click Save & Close.

Remember, this is editing the client profile, so it will always affect the client info across ALL projects attached to this same client.

If it's a project mapped custom field, click on the pencil icon next to the Custom Mapped Project Fields section in the sidebar. Enter the information in the relevant fields and click Save. Only fields with information saved in them will be shown in the sidebar.

TIP: If you don't see the new info in the sidebar after saving, don't panic! Simply refresh the page and it will appear 🙂

Displaying Information With a Smart Field

Now that you've saved some information in custom mapped fields, you may want to display it elsewhere, such as in a contract or email. This can be done with smart fields.

Each time you create a custom mapped field, a corresponding smart field will be generated automatically! You can find and insert these smart fields in your emails or form text boxes under Smart Field >> Client or Smart Field >> Project, depending on where the custom field is mapped.

Can I create a custom mapped field for free response/checkboxes/dropdown type questions?

Unfortunately not at this time. The only form fields that can be mapped are short answer and date select.
