Navigation within a project

Each project in Dubsado is organized into different sections that help you manage client communication, invoices, scheduling, and more. This article covers how to navigate within a project and customize its appearance.


Project tabs

Each project is organized into eight tabs located at the top of the page:

  • Details

  • Messages

  • Invoicing

  • Tasks

  • Events

  • Forms

  • Flows

  • Notes

Click a tab header to navigate to that specific section of the project.


Details tab

The Details tab displays all essential information about the project, including project info, client info, portal settings, and activity history.

View modes

The Details tab can be displayed in three different ways:

  • Expanded (full page): The Details tab takes over the main content area

  • Collapsed (sidebar): The Details tab appears as a sidebar alongside other content

  • Hidden: The Details tab is completely hidden to maximize your workspace

Dubsado remembers your preferred view mode and uses it the next time you enter a project.

You can adjust your view mode by using the arrow icons at the top of the sidebar or Details tab header.

To archive or delete a project, use the three dots icon. The location of this icon depends on your current view mode:

  • In expanded (full page) mode: The icon appears persistently in the top right corner of the page

  • In collapsed (sidebar) mode: The icon appears to the right of the project title when you hover over that area

  • In hidden mode: The icon is not accessible. Expand or show the Details tab to access archive and delete options

Customizing the project appearance

You can personalize each project's appearance by customizing its icon and banner. These options are purely aesthetic and help you visually differentiate between projects at a glance.

Customizing the project icon

Click the project icon in the top left corner of the Details tab to open the customization menu. The menu contains three tabs:

  • Icons: Browse a library of simple line art icons. Use the search bar to find specific icons, or click Surprise me to randomly select one. After selecting an icon, you can also choose a color to apply to it (for example, a red music note or a blue camera).

  • Emojis: Browse a library of emojis. Use the search bar to find specific emojis, or click Surprise me to randomly select one.

  • Colors: Select from two rows of preset color options. Choosing a color replaces the icon with a solid colored circle.

You can also customize the project icon directly from the main Projects page by clicking the icon next to any project.

Customizing the project banner

The banner appears at the top of the Details tab and can be customized with different colors.

How you access banner customization depends on your current view mode:

  • In collapsed (sidebar) mode: Click directly on the banner to open the color menu

  • In expanded (full page) mode: Hover over the banner to reveal the Edit banner button, then click it to open the color menu

The color menu displays two rows of preset color options. Select a color to apply it to your project banner.


Project info

The Project info section contains key details about the project. Click the Project info header to collapse or expand this section.

Within Project info, you can view and update the following:

  • Project date: Click to set or update the project date. Toggle the Show as busy setting to prevent scheduler appointments from being booked during the project date.

  • Location: Click to set or update the project location.

  • Project status: Click to update the project's current status.

  • Tags: View or apply tags, or create a new tag.

  • Project source: View the project's source, or create a new project source.

  • Assignees: Assign teammates to the project, or view the teammates currently assigned.

  • Project creation date: The date that the project was created in Dubsado (not editable).

  • Contract: View or add a contract to the project. Also displays the contract status and whether it has been countersigned.

  • Invoice: Displays the amount paid and total of the project's primary invoice.

  • Custom fields: View or edit any custom project fields.


Client info

The Client info section displays details about the client associated with the project. Click the Client info header to collapse or expand this section.

Client details can include:

  • Client name

  • Email address

  • Phone number

  • Company name

  • Additional client details saved in the address book

  • Custom client fields

Click the pencil icon to update client information.


Portal

The Portal section manages the client portal for this project. Click the Portal header to collapse or expand this section.

Within this section, you can:

  • Portal status: Use the toggle to activate or deactivate the client portal for this project

  • Share the client portal: View the client portal in a new tab, copy the client portal link, or send the client portal link via email

  • Password: Set a custom password for this client's portal

  • Banner: Upload a banner image for the client portal


Activity

The Activity section displays a log of all actions that have taken place within the project. Each action is recorded with the time and date the action occurred, as well as the teammate who completed the action.

In collapsed (sidebar) mode, Activity appears at the bottom of the Details tab. In expanded (full page) mode, Activity appears on the right side of the page.


Messages tab

The Messages tab allows you to manage all email communication related to the project.

The Inbox, Sent, Archived, and Unread message views make it easy to keep track of client conversations. You can search for specific emails using the search bar, filter emails by date, compose and send emails, or reassign existing email threads to different projects.


Invoicing tab

The Invoicing tab allows you to handle all financial aspects of the project.

You can create new invoices, add payment plans, and view or record payments as they are received. If you need to track expenses or create recurring invoices, you can manage those within this section as well.


Tasks tab

The Tasks tab helps you keep track of project-related to-dos.

Here, you can add individual tasks to organize and plan your work. Tasks can be filtered by due date, assignee, or progress, making it easy to see what needs to be completed.


Events tab

The Events tab allows you to manage project-specific events and all appointments related to the project.

From here, you can send appointment scheduling requests using your existing scheduler templates, book an appointment on behalf of the client, view and manage scheduled appointments, or create internal events that aren't client-facing.


Forms tab

The Forms tab is where you can manage all forms related to the project.

You can add existing form templates, send forms directly to your clients, and customize forms within the project. Additionally, this section allows you to create brand-new forms from scratch, upload PDFs, and track the status of forms that have already been applied to the project.


Flows tab

The Flows tab is where you can apply and manage automation for your project.

You can select a flow template to apply and manage any flows that are currently running. Flows allow you to automate processes such as sending emails, applying tags, and moving projects through different project statuses.


Notes tab

The Notes tab allows you to store important details related to the project.

This tab is useful for recording general notes for internal reference, or for creating call log notes to keep track of client conversations. Notes in this section remain within the project for future reference.


Accessing templates within a project

Several project tabs provide direct access to your template library, allowing you to view and edit templates without leaving the project.

The following tabs include template access:

  • Messages tab: Custom templates and Default templates

  • Invoicing tab: Packages, Discounts, and Payment Plan templates

  • Events tab: Scheduler templates and Group templates

  • Forms tab: Form templates

  • Flows tab: Flow templates

These sections are always displayed under a Templates header within each tab.

Changes made to templates from within a project are applied to your master templates. If you edit a form template while working in a project, that change affects the template itself and will apply anywhere that template is used β€” not just the current project.


FAQ

Can I access project details while viewing other tabs?

Yes. When the Details tab is in collapsed (sidebar) mode, it remains visible alongside other tabs like Messages, Invoicing, or Forms. This allows you to reference project information while working in other areas. You can also hide the Details tab completely if you need more workspace.

Can teammates see my project customizations?

Yes. The icon and banner customizations you apply to a project are visible to all teammates who have access to that project. These customizations are saved to the project itself, not to your personal view.

How do I archive or delete a project?

Use the three dots icon in the Details tab to archive or delete a project. The icon's location depends on your view mode: in expanded mode, it appears in the top right corner; in sidebar mode, it appears when you hover to the right of the project title. If the Details tab is hidden, you must expand or show it first to access these options.
