Navigation within a project

Each project in Dubsado is organized into different sections that help you manage client communication, invoices, scheduling, and more. This article covers how to navigate within a project and customize its appearance.


Project tabs

Each project is organized into eight tabs:

  • Overview

  • Messages

  • Invoicing

  • Tasks

  • Events

  • Forms

  • Flows

  • Notes

Click a tab header to navigate to that specific section of the project.


Overview tab

The Overview tab is the project's home base. It brings the project's key properties, its financial totals, and anything waiting on you together on a single page.

The properties bar

The properties bar sits directly beneath the project title and holds the fields you change most often. Click any of them to edit it inline.

  • Contact: The contact attached to the project. Click their name to open the contact record.

  • Status: The project's current status.

  • Dates: Click Select dates to set a single date or a date range.

  • Tags: Click Select tags to apply or remove tags.

  • Assignees: The teammates assigned to the project.

  • Portal: Shows whether the client portal is turned on or off.

  • View: Opens the details panel. While the panel is open, this button reads Hide. The panel can also be opened from any project tab with View details.

Financial overview

The Financial overview section gives you four figures for the project:

  • Revenue: Payments received on the project.

  • Amount remaining: The balance still owed.

  • Expenses: Expenses recorded against the project.

  • Net profit: Revenue minus expenses.

These four figures cover every invoice on the project. The Invoice row in the details panel reports the primary invoice only, so the two can differ on a project that has more than one invoice.

Action items

The Action items section collects everything on the project that needs your attention: contracts waiting to be countersigned, flow actions awaiting approval, a project date your client has proposed, and overdue tasks. Dubsado also surfaces optional suggestions here, such as a nudge about an overdue payment or a prompt to archive a finished project.

Use the section's options menu to switch between Show suggestions and Hide suggestions. When nothing needs your attention, the section reads You're all caught up.

Client updates

The Client updates section shows recent client activity on the project. Before your client has done anything, it reads No updates yet.

This week

The This week section lists the project's upcoming calendar events, grouped by day with today first.


Messages tab

The Messages tab allows you to manage all email communication related to the project.

The Inbox, Sent, Archived, and Unread message views make it easy to keep track of client conversations. You can search for specific emails using the search bar, filter emails by date, compose and send emails, or reassign existing email threads to different projects.


Invoicing tab

The Invoicing tab allows you to handle all financial aspects of the project.

You can create new invoices, add payment plans, and view or record payments as they are received. If you need to track expenses or create recurring invoices, you can manage those within this section as well.


Tasks tab

The Tasks tab helps you keep track of project-related to-dos.

Here, you can add individual tasks to organize and plan your work. Tasks can be filtered by due date, assignee, or progress, making it easy to see what needs to be completed.


Events tab

The Events tab allows you to manage project-specific events and all appointments related to the project.

From here, you can send appointment scheduling requests using your existing scheduler templates, book an appointment on behalf of the client, view and manage scheduled appointments, or create internal events that aren't client-facing.


Forms tab

The Forms tab is where you can manage all forms related to the project.

You can add existing form templates, send forms directly to your clients, and customize forms within the project. Additionally, this section allows you to create brand-new forms from scratch, upload PDFs, and track the status of forms that have already been applied to the project.


Flows tab

The Flows tab is where you can apply and manage automation for your project.

You can select a flow template to apply and manage any flows that are currently running. Flows allow you to automate processes such as sending emails, applying tags, and moving projects through different project statuses.


Notes tab

The Notes tab allows you to store important details related to the project.

This tab is useful for recording general notes for internal reference, or for creating call log notes to keep track of client conversations. Notes in this section remain within the project for future reference.


Accessing templates within a project

Several project tabs provide direct access to your template library, allowing you to view and edit templates without leaving the project.

The following tabs include template access:

  • Messages tab: Custom templates and Default templates

  • Invoicing tab: Packages, Discounts, and Payment Plan templates

  • Events tab: Scheduler templates and Group templates

  • Forms tab: Form templates

  • Flows tab: Flow templates

These sections are always displayed under a Templates header within each tab.

Changes made to templates from within a project are applied to your master templates. If you edit a form template while working in a project, that change affects the template itself and will apply anywhere that template is used — not just the current project.


The details panel

The details panel holds the project's full record, and it stays available from every tab so you can reference the project's information wherever you are working.

There are three ways to open and close it:

  • Click View details from anywhere in the project. This button is available on every tab, so it is the most reliable way to reach the panel. Once the panel is open, it reads Hide details.

  • On the Overview tab, click View in the properties bar. It reads Hide once the panel is open.

  • Press I to toggle the panel open or closed while you are viewing a project or a contact.

Use the panel's Display control to move it to either side of the content area, or to hide fields that are empty.

The panel is organized into four cards. Click a card's header to collapse or expand it.

Project info

The Project info card holds the project's core details:

  • Contact: The contact attached to the project.

  • Status: The project's current status.

  • Date: The project's date, or Dates when a range is set. Click the calendar icon beside the date to switch the project between showing as busy and showing as available, which controls whether appointments can be booked through your schedulers during that time.

  • Location: Click to set or update the project location.

  • Tags: View or apply tags, or create a new tag.

  • Contract: View or add a contract to the project. Also displays the contract status and whether it has been countersigned.

  • Invoice: The amount paid and the total of the project's primary invoice.

  • Net profit: The project's revenue minus its expenses.

  • Assignees: Assign teammates to the project, or view the teammates currently assigned.

  • Source: View the project's source, or create a new project source.

  • Created: The date the project was created in Dubsado. This is not editable.

  • Custom fields: View or edit any custom project fields.

Contact info

This card is headed by the contact's name and holds their details, including email address, phone number, company, address, and any custom contact fields.

Click Go to profile to open the contact's full record, or Edit to update their information.

Portal

The Portal card manages the client portal for this project. Its header shows whether the portal is On, alongside Share and Turn off. Within the card you can:

  • Turn the client portal on or off

  • View the portal in a new tab, copy its link, or send the link by email

  • Set a custom password for this client's portal

  • Upload a banner image for the portal

Activity log

The Activity log card records the actions taken on the project. Each entry shows what happened, when it happened, and who did it. Your own actions are attributed to You and a teammate's actions show their name.

Anything handled automatically shows the flow that did it, such as "The flow Client Onboarding sent the email." If the flow has since been deleted, the entry reads A flow instead.

Click View all at the top of the Activity log card to open the full history.


Project options

Click the options menu (vertical three dots) beside the project name to reach the actions that apply to the whole project, along with its appearance settings.

Customizing the project appearance

You can personalize each project's icon and color theme. These options are purely aesthetic and help you visually differentiate between projects at a glance.

Select Change project icon to open the picker, which has three tabs:

  • Icons: Browse a library of simple line art icons. Use the search bar to find a specific icon, or click Surprise me to select one at random. After selecting an icon, you can also choose a color to apply to it.

  • Emoji: Browse a library of emoji. Use the search bar to find a specific emoji, or click Surprise me to select one at random.

  • Colors: Select a preset color. Choosing a color replaces the icon with a solid colored circle.

Select Change project theme to set the project's color from a grid of presets.

You can reach both without opening the options menu. Click the project's icon to open the picker directly, or hover over the project banner to reveal a Change project theme button. The icon can also be customized from the main Projects page by clicking the icon next to any project.

Archiving and deleting a project

The options menu also holds Archive and Delete. On a project that is already archived, the Archive option reads Restore instead.

The menu's Action items entry opens the same list of outstanding items shown on the Overview tab.


FAQ

Can I access project details while viewing other tabs?

Yes. The details panel stays open alongside the other tabs, so you can reference the project's information while working in Messages, Invoicing, Forms, or anywhere else in the project. Use View details to open or close it from any tab, or press I.

Can teammates see my project customizations?

Yes. The icon and theme you apply to a project are visible to all teammates who have access to that project. These customizations are saved to the project itself, not to your personal view.

How do I archive or delete a project?

Click the options menu (vertical three dots) beside the project name, then select Archive or Delete. To restore a project you have already archived, open the same menu and select Restore.
