The Projects page

The Projects page in Dubsado serves as your central command center for managing all client work from initial lead through project completion. Here you can view, manage, and filter your projects, allowing you to stay organized and efficient in your business operations.


Projects page overview

The Projects page displays all of your projects, organized by their current project status. You can think of a project as a digital file folder that stores all the information related to a specific job or service for one client.

Each project is linked to one client, but a single client can have multiple projects.

To access the Projects page, click on the Projects icon in the left-hand navigation bar.

The Projects page offers multiple viewing contexts:

  • Main Projects View: Shows all projects across your workspace with filtering and organization options

  • Project-Specific Context: When you open an individual project, you can access the project-specific views of Messages, Invoicing, Tasks, Events, Forms, Flows, and Notes for that particular project

Quick filter tabs

Projects are organized with 4 quick filter tabs at the top left of the page:

  • All: All projects in your workspace

  • Leads: Projects in the initial stages of your business flow

  • Jobs: Projects that have progressed beyond the lead stage

  • Archived: Projects that are completed or no longer active

Click a category at the top of the Projects page to view the projects within that category. Or, click All in the top left corner of the page to display projects from all statuses in one consolidated view.

Updating project info

You can edit certain project properties directly from the main Projects page without opening the project. Simply hover your mouse over a property on a project card, and if it can be edited in-line, a small popup will appear letting you know you can click to edit.

Properties that can be edited in-line include:

  • Project status

  • Project date

  • Assignees

  • Tags

  • Project source

This feature allows you to quickly update project information without leaving the Projects page view.


View modes

The Projects page offers two primary view modes that you can switch between based on your workflow preferences: Board view and Table view.

Change your selected view mode by clicking the Display button on the right side of the page.

Board view (Kanban style)

The default Board view displays projects as cards organized in columns by group, where you can scroll from left to right to view additional groups.

Each project card can display:

  • Project name

  • Client name

  • Source

  • Status

  • Contract status

  • Workflow status

  • Amount paid

  • Project date

  • Assigned to

  • Tags

  • Custom project fields

You can click anywhere on a project's card to immediately access that project.

Board view drag-and-drop

In Board view, you can drag and drop projects between groups. You can:

  • Move projects between project statuses when grouping by status

  • Move projects between project sources when grouping by project source

  • Move projects from one teammate assignment to another when grouping by assigned to

  • Move projects with one tag to another tag when grouping by tags

    • The original tag is removed and the new tag is added

You cannot reassign a project's assigned client using drag and drop.

To move a project:

  1. Click and hold on any project card

  2. Drag the card to the desired group

  3. Release to drop the project in its new group

Table view

The Table view displays projects in a traditional spreadsheet format with sortable columns:

  • Project name

  • Client name

  • Source

  • Status

  • Contract

  • Workflow

  • Amount Paid

  • Project Date

  • Assigned to

  • Tags

  • Custom project fields

When using the Table view, you can click on a group header to collapse and hide that group. Clicking the header again expands the contents of that group.


Display settings

Click the Display settings icon (three horizontal lines) on the right side to customize how information is displayed.

At the top of the display settings area, you can choose between Board view and Table view.

Group by

Choose how to organize your current view:

  • No grouping - this only functions when using the Table view

  • Status (default) - group by project status

  • Client - group by client name

  • Project source - group by lead source

  • Assigned to - group by team member assignment

  • Tags - group by project tags

The Show empty groups toggle allows you to display/hide groups or rows with no projects.

The Show labels toggle allows you to display field labels for each displayed property on project cards (e.g., "Project title:", "Client name:", "Status:", "Contract:", etc.). Toggling this setting off removes the labels, and only that property's data is displayed.

The Show labels option is only available when using the Board view. When using Table view, the field labels are used to name each column and cannot be hidden unless that entire column is turned off in the Shown in table settings configuration.

Select which fields appear on project cards in Board view or which columns appear in Table view. Click the eye icon next to a field to display/hide the field, and you can drag and drop fields to reorganize the order in which they appear.


Searching, sorting, and filtering projects

Underneath the quick filter tabs, you can use the Search bar, Sorting button, and Filter button to further refine the view of your projects.

These options only apply to the view you're currently using. For example, if you're currently viewing Leads and search for a project, the search will only return results found within your Leads.

Click All from the quick filtering options at the top of the page to view all projects if you want to search, sort, or filter all of your projects.

Searching for projects

Click the magnifying glass icon to search for a project by:

  • Project name

  • Client name

Sorting

Click the Sorting button to display projects in an ascending or descending order by:

  • Project name

  • Client name

  • Project date

Sorting your current view continues to display all projects in your current view, but simply reorganizes those projects by the chosen factor.

Filtering

Click the Funnel icon to filter projects by:

  • Client name

  • Source

  • Project date

  • Assigned to

  • Tags

Filtering your current view returns only projects that meet the chosen filter criteria.


Project statuses

Project statuses are customizable categories that reflect the different phases of your business flow. As your work with a project progresses, you can move that project from one status to another. This movement between statuses helps you track the progress of your projects and stay organized.

Understanding Lead and Job statuses

Project statuses in Dubsado are divided into two main categories:

  • Lead statuses: These statuses typically represent the early stages of your client relationship or project.

  • Job statuses: These statuses usually represent active client work, in-progress projects, or completed projects.

Each business that uses Dubsado has a slightly different definition of Lead and Job project statuses, since each business is unique.

If you're unsure of where to begin, start by writing out your business process in bullet point format. This helps to identify different phases of your work – your project statuses!

Here are some common examples of project statuses:

Lead statuses:

  • Inquiry

  • Consultation Booked

  • Proposal Sent

  • Contract Pending

Job statuses:

  • Active Project

  • Revisions

  • Final Delivery

  • Complete

Managing your project statuses

Click the Manage button in the top navigation to create, edit, or delete project statuses.

The Project Statuses tab allows you to customize the project status options within Leads and Jobs.

Creating new statuses

  1. Enter a status name in either the Leads or Jobs section.

  2. Click the Create button.

Within your existing Lead and Jobs statuses, you can drag and drop the statuses to reorganize the order in which they appear.

You can also click the pencil icon to edit a status's name, or click the trashcan icon to delete a status entirely.

Using project statuses in your workflow

Once you've set up your project statuses, you can:

  • Assign a status to new projects when creating them

  • Change a project's status as it progresses through your business flow

  • Filter your projects by status to focus on specific phases of work

  • Easily view and track how many projects are in each phase of your business process


Project tags

While project statuses help you keep track of your business phases, project tags help you differentiate between projects.

You can create as many project tags as you like. Many users create project tags that correlate with the different services they offer, while others might create tags to help differentiate new clients and returning clients.

Managing your project tags

Click the Manage button in the top navigation and then click the Tags tab. The Tags tab allows you to create and manage project tags for additional categorization and filtering.

Creating new tags

  1. Enter a name for your new tag.

  2. Choose a color for your new tag using the color picker dropdown menu.

  3. Click the Create button.

When viewing your existing Tags, you can click the pencil icon to edit the name of an existing tag. You can also click the box icon to archive a tag, or click the trashcan icon to delete a tag entirely.

  • Archiving a Tag allows you to remove that Tag from your filter and sorting options, while leaving the Tag applied to any projects where it's already applied.

  • You can unarchive a Tag at any time within the Tags tab

Applying tags to projects

Tags can be applied during project creation, added manually to a project at any time, or added automatically via workflow.


Custom project fields

Click the Manage button in the top navigation and then click the Custom Fields tab to manage custom project fields.

The Custom Fields tab allows you to enable or disable custom project fields as columns or properties in your project views. If you have existing custom project fields, you can toggle them on or off to control whether they appear on project cards in Board view or as columns in Table view.

From this tab, you'll also find a link that takes you to where you can set up and configure your custom project fields in your account settings. Custom fields allow you to track additional project or client-specific information beyond the standard fields provided by Dubsado.


Creating a new project

Click the New Project button in the top right corner to create a new project.

Creating a project requires three essential pieces of information:

  • Project title: A clear, descriptive name for the project

  • Client: Either select an existing client from your contacts or create a new client

  • Project status: Choose from your existing project statuses

You can optionally click Add more details to include additional information such as project dates, tags, and internal notes. Project dates will automatically appear on your Dubsado calendar and can be referenced with smart fields or used to time actions in your workflows.

Exporting project data

Click the Export CSV button in the top right to export project data.

The export will only include data for projects visible in your current view and filters, so ensure you're viewing the correct status before exporting.

The CSV export can include various categories of information including project details (title, status, dates, tags, sources), invoice information, client details (contact information, company details), and any custom mapped fields you've created for both clients and projects.


FAQ

What's the difference between a Lead and a Job?

Great question! It's entirely up to you. Each business that uses Dubsado has a slightly different definition of a "Lead" and a "Job" project, since each business is different.

How does archiving a project work, and why would I archive a project?

Archiving a project is useful when you're no longer actively working with a project but don't want to delete it from your Dubsado account. Projects can be archived or unarchived at any time.

When a project is archived:

  • Any active workflows within that project are automatically paused

  • Other automations still run (like automatic payment reminders or appointment reminders)

  • If the project is a lead project, open invoices in that project are automatically closed

  • If the project is a job project, open invoices in that project remain open

I'm having a hard time deleting a project

In order to delete a project in Dubsado, check to see if any of these items exist within that project:

  • A contract

  • A sub-agreement

  • An open invoice

  • Recorded payments on an invoice

If your project contains any of these items, it can't be deleted. Make sure to remove any recorded payments if they exist, delete open invoices, and delete sub-agreements or the main contract from the project before proceeding with deletion.

Keep in mind that deletion is permanent, so if you think you might ever need to reference information within that project in the future, archiving the project might be the way to go.

If I delete a project status, what happens to projects that were assigned to that status?

When a project status is deleted, projects assigned to that status are automatically reassigned to Lead: No status or Job: No status, based on the type of status that you're deleting.

Can I convert a Lead status to a Job status?

No, you cannot convert a Lead status to a Job status or vice versa. However, you can move projects from a Lead status to a Job status as they progress through your business flow.

Is there a limit to how many project statuses I can create?

No, you can create as many project statuses as needed to match your business workflow. However, for clarity and ease of use, we recommend keeping your status list streamlined and focused on your key business phases.

What's the difference between archiving and deleting a tag?

Archiving a tag won't remove that tag from any project where the tag is currently applied, and you can un-archive a tag at any time.

Deleting a tag will remove that tag from projects where that tag is currently applied, and deleted tags cannot be recovered.

Why would I want to archive a tag?

Archiving tags can help you stay organized without removing the actual tag from projects where it's applied. For example, if you have a tag for a specific service you no longer offer, you might want to archive that tag so it doesn't clutter your active tags list, but you still want to keep that tag applied to past projects for reference and reporting purposes.

How do project statuses affect workflows?

Workflows can be set up to automatically move projects between statuses by using a Change project status action. This option is great if you want Dubsado to help you stay organized automatically!
