The Projects page

The Projects page in Dubsado serves as your central hub for organizing your client work. Here you can view, manage, and filter your projects, allowing you to stay organized and efficient in your business operations.


Projects page overview

The Projects page displays all of your projects, organized by their current project status. You can think of a project as a digital file folder that stores all the information related to a specific job or service for one client.

Each project is linked to one client, but a single client can have multiple projects.


Quick filter tabs

Projects are grouped into three main categories: Leads, Jobs, and Archived. Use the quick filter tabs in the top left of the page to choose a category to view.

  • All: Displays projects from all statuses in one consolidated view

  • Leads: Projects in the initial stages of your business flow

  • Jobs: Projects that have progressed beyond the lead stage

  • Archived: Projects that are completed or no longer active

View modes

The Projects page offers two primary view modes that you can switch between based on your preferences.

Board view

The Board view displays projects as cards organized in columns by group. You can scroll horizontally to view additional groups.

In Board view, you can drag and drop projects between groups to quickly update their status, source, assignee, or tags depending on your current grouping selection.

Table view

The Table view displays projects in a traditional spreadsheet format with sortable columns. When using Table view, you can click on a group header to collapse or expand that group.

To switch between views, click the Display button in the top left of the page and select Board or Table.


Display settings

Click the Display button in the top left of the page to customize how information is displayed.

Group by

Choose how to organize your current view:

  • No grouping: Displays projects without any specific grouping (Table view only)

  • Status: Groups projects by project status

  • Client: Groups projects by client name

  • Project source: Groups projects by source

  • Assigned to: Groups projects by team member assignment

  • Tags: Groups projects by project tags

Additional display options

  • Show empty groups: Toggle to display or hide groups with no projects

  • Show labels: Toggle to display field labels on project cards (Board view only)

Shown in table

Select which fields appear on project cards in Board view or which columns appear in Table view. Click the eye icon next to a field to show or hide it, and drag and drop fields to reorganize their display order.

Available fields include:

  • Project

  • Client

  • Status

  • Source

  • Contract

  • Workflow

  • Amount Paid

  • Project Date

  • Assigned to

  • Tags

  • Custom client fields (if enabled)

In-line editing

Many project details can be edited directly from the Projects page without opening the project. Hover over a project card or row to see which fields are editable, then click to make changes.

Editable fields include:

  • Project status

  • Project date

  • Assignees

  • Tags

  • Project source

  • Project icon or emoji

For the project icon/emoji, clicking opens a customization menu where you can select from icons, emojis, or solid colors. For complete details on customizing project icons and banners, see Navigation within a project.


Searching, sorting, and filtering

These tools help you quickly locate specific projects. Note that search, sort, and filter options apply only to the quick filter tab you're currently viewing. Select All to search, sort, or filter across all projects.

Searching for projects

Click the magnifying glass icon to search for a project by project name or client name.

Sorting projects

Click the Sorting button to display projects in ascending or descending order by project name, client name, project date, or created date.

Filtering projects

Click the Filter icon (funnel) to filter projects by client, project dates, assigned team member, tags, or created date.


Creating a new project

Click New Project in the top right corner of the page to create a new project.

Exporting project data

Click Export CSV (down arrow) in the top right corner to export project data. The export includes only projects visible in your current view and filters.

Available export fields include project details, invoice information, client details, and any custom mapped fields you have created.


Managing statuses, tags, and custom client fields

Click the Manage button (gear icon) in the top right of the page to create, edit, or organize your project statuses and tags. Here you can also enable custom client fields within your project views.

FAQ

How does archiving a project work?

Archiving a project is useful when you're no longer actively working with a project but don't want to delete it. Projects can be archived or unarchived at any time.

When a project is archived:

  • Any active workflows within that project are automatically paused

  • Other automations still run, such as automatic payment reminders or appointment reminders

  • If the project is a lead, open invoices in that project are automatically closed

  • If the project is a job, open invoices remain open

Why can't I delete a project?

In order to delete a project, it cannot contain any of the following:

  • A contract

  • A sub-agreement

  • An open invoice

  • Recorded payments on an invoice

Remove any recorded payments if they exist, delete open invoices, and delete sub-agreements or the main contract from the project before proceeding with deletion.

Keep in mind that deletion is permanent. If you think you might need to reference information within that project in the future, archiving the project is a better option.
