Project details explained
When creating a project manually, there are few piece of information that you need to provide.
Project titles
Project titles can be anything you like. Choose a naming convention that makes sense to you and your organizational structure, so you can easily find a specific project later.
Contact
You can choose to assign the new project to an existing contact, or you can create a new contact. When a new contact is created, the information you entered is automatically saved within the system and can be accessed by navigating to the Contacts tab in the lefthand navigation menu.
Project status
Projects must be assigned to a project status when created. If you haven’t created your project statuses yet, you can click Customize view on the main Projects page to set up your statuses.
Optional project details
In addition to the project title, client, and project status, you can choose to add additional project information during project creation by clicking Add more details:
Project date
Project tags
Project notes
Project dates can correlate to the a project’s start date, a project’s end date, a range of dates, or any other significant date you want to associate with the project.
Project dates automatically appear within your Dubsado calendar. You can edit the project date at any time, and the project date can be referenced with smart fields or used to time actions in your workflows.
Project notes are any internal information that you want to save about your project. Your client cannot see your notes, and you can add additional notes or edit exiting notes at any time by navigating to the Notes tab within the project.
If you don’t enter any additional details during project creation, you can always add additional information to the project later.
Creating projects automatically with Lead Capture forms
For a more streamlined approach, you can use a Lead Capture form to automatically create projects.
When a client fills out and submits a Lead Capture form:
A new project is automatically created using the information the client provided
A workflow can be automatically started
The project can be automatically assigned to a specific project status
The project can be named according to your custom naming conventions
The project can be automatically assigned to a team member
Lead Capture forms can be shared with clients via a direct URL or embedded on your website, making them an excellent tool for automating your client intake process.
To configure how your Lead Capture form creates projects, head to your Form templates and access the settings of your Lead Capture form.
Creating projects automatically with Public Proposals
Public Proposals also automatically create projects when submitted by clients, similar to Lead Capture forms.
To set up a Public Proposal:
Head to Templates ➔ Forms
Navigate to your proposal template's settings
Select the Settings tab in the lefthand sidebar
Toggle Create new project once proposal is completed to Yes
Configure the default settings for automatically created projects:
Default workflow to apply
Project status assignment
Project title naming convention
Public Proposals can be particularly useful when you want prospective clients to choose their desired services while automating the project creation process. Additionally, Public Proposals can include a contract and an invoice, so you can streamline your onboarding process and get paid quicker.
