Managing your settings in Dubsado
Your settings in Dubsado are divided into three main categories:
Client-facing brand settings: control how your brand appears to clients.
General brand settings: manage internal business operations.
Account settings: adjust personal user preferences and notifications.
To access the Settings area, click your username in the bottom left-hand corner of your screen, then click Settings.
This guide walks you through each of these settings areas and what you can customize.
Client-facing brand settings
Client-facing brand settings allow you to adjust how your business appears to clients.
Business info
The Business info section contains the core details of your brand.
Brand name: set the name of your business as it appears in client-facing areas.
Phone number: add or update your brand's phone number.
Business email: set the email address that displays on invoices and within the client portal.
Email sender name: choose whether emails sent from Dubsado display your personal name or your business name.
Locale: configure regional settings such as date formats and currency preferences.
Currency symbol override: optionally customize your currency display with symbols like €, £, or others.
Business address: store your official business address for invoices and client-facing documents.
Styling
The Styling section allows you to customize the visual elements of your brand.
Logo: upload and manage your brand's logo for use on invoices and within the site. Recommended dimensions are 200 x 100px in JPG, PNG, or GIF format.
Brand color: set your primary brand color using the color picker. This color applies to form buttons and email links.
Client portal
The Client portal settings allow you to personalize your client-facing portal.
Welcome message: customize the message displayed when clients log into their portal. The default is "Welcome to your client portal."
"Projects" tab text: personalize the Projects tab label to match your business terminology.
Portal-specific logo: upload a unique logo for the client portal that can differ from your main brand logo.
Banner & colors: customize the banner images (both desktop and mobile versions) and color scheme.
Sharing link: copy and share your portal's direct URL, which can be used by any client with an active portal and a password set.
Embed code: retrieve the embed code to integrate the client portal into your website.
URL customization
The URL customization settings allow you to personalize how your Dubsado links appear.

Invoice appearance
The Invoice appearance settings let you control how invoices are displayed.
"Bill-to" name shown on invoices: choose whether invoices display the client name, company name, or both.
Show taxes on each line item: toggle whether taxes appear on each line item or as a total tax amount.
Invoice terms: add text, smart fields, images, or links to the top or bottom of invoices to include additional details like payment terms, refund policies, or disclaimers.
General brand settings
These settings control internal business operations within your Dubsado brand.
Calendar & time zone
Manage external calendar connections and scheduling preferences.
Connect an external calendar: sync with Google Calendar, Outlook, and other supported platforms.
Import & export settings: manage how Dubsado interacts with your external calendar.
Date conflict settings:
Approve new project dates: when a project is automatically created, you'll be prompted to check any date conflicts before approving.
Filter appointment availability across brands: prevent double-booking across multiple brands.
Time zone settings: set your default time zone.
Payments
Configure how you accept payments in Dubsado.

Country & currency: set your preferred country and currency.
You can connect to either Dubsado Payments or Square, but not both at the same time. PayPal can be connected in addition to either of those options.
Emails
Connect an external email account and manage email settings.

Tracking pixel: if enabled, allows you to see if sent emails have been read. Some client email accounts may have security features that prevent this from working properly.
Email deliverability:
SPF record verification: ensures better email deliverability.
TXT record value: used for DNS setup if required.

Forwarding verification code (needed for some SMTP connections)
Custom fields
Create custom date or short answer fields for clients and projects.
Custom client fields: these fields are linked to the client profile and apply across any projects with that client. Perfect for recording client ID numbers or client birthdays.
Custom project fields: fields that are linked to individual projects. A great way to define fields for industry-specific dates or other niche data categories.
Appearance
Control how your brand looks inside your Dubsado account.
Corner logo display:

Show dashboard overview: controls the widget group at the top of the Home page for new projects, revenue, conversion rate, and revenue goals.
Third-party connections
Integrate external tools with Dubsado.
Video conferencing:
After connecting an external calendar account, you can enable video conferencing to integrate directly with Zoom, Google Meet, Microsoft Teams, or GoToMeeting.
Accounting:
Connect to QuickBooks or Xero to automatically sync invoices and payments. You must import tax codes for proper integration functionality.
Zapier:
Generate an API key to connect Dubsado to thousands of other business tools through Zapier automation.
Team members
Add and manage additional users in your Dubsado account. You can add up to three team members for free.
User roles:
Basic: access assigned projects and tasks with optional additional permissions.
Accountant: view-only access to invoices, transactions, revenue, and reports.
Admin: full access except billing, account settings, and other team members' calendars.
Groups: organize team members into groups for efficient bulk assignment of tasks and projects.

Customize how you receive Dubsado notifications.
Notification email: choose an email address where you'd like to receive your Dubsado notifications. This email can be different than your login email and your connected email account.
Choose notification events: enable or disable a variety of notifications including:
Workflow action needs approval
Project and task assignments
Contract signatures
Payment received or failed
Form completions
Appointment bookings, rescheduling, and cancellations

Both notification types can be enabled simultaneously, or you can disable notifications completely for any event type.
FAQ
Can I use both Dubsado Payments and Square at the same time?
No, you can connect to either Dubsado Payments or Square, but not both simultaneously. However, PayPal can be connected in addition to either option.
My email connection isn't working. What should I do?
Try disconnecting and reconnecting your email account. If using SMTP, double-check your configuration settings. When connecting a Google or Microsoft account, make sure to enable all required permissions.
How many team members can I add for free?
You can add up to three team members at no additional cost.
Can my notification email be different from my login email?
Yes, your notification email doesn't need to be the same as your login email, business email, or connected email account.
What's the difference between Admin and Accountant roles?
Accountants have view-only access to invoices, transactions, revenue, and reports. Admins have full access to nearly everything except billing, account settings, and other team members' calendars.
How do I ensure my invoices sync properly with QuickBooks or Xero?
You must import your QuickBooks or Xero tax codes into Dubsado. Invoices must have the appropriate tax code applied in order to sync properly.
Why can't my clients access their portal?
If you're using your public client portal link, verify that the client has an active portal status and has set a password.
If no password is set, they won't be able to login using the public client portal link (either direct link or embedded). Without a password set, clients can use the email address you have on file for them to log in to the portal via a link sent to them from a project or contact entry.
