Stay on top of your work with tasks in Dubsado.


Overview of tasks in Dubsado

Tasks help you organize your work and stay on top of your important to-dos. Whether you need to track client-related action items or personal reminders, the tasks feature provides a centralized location to manage all your responsibilities.

Navigating the Tasks page

To access your tasks, click Tasks in the main navigation menu on the left-hand side of the page.

The Tasks page displays all your tasks in a table view. For each task, you can see:

  • The body of the task

  • The project the task is associated with (if applicable)

  • The assignee (if assigned)

  • The due date (if set)

Viewing and filtering tasks

The Tasks view provides three built-in filters to organize your tasks:

  • All Tasks: Displays all tasks, regardless of their completion status

  • To Do: Shows only tasks that are incomplete

  • Completed: Displays tasks that have been marked as finished

To search for a specific task:

  • Click the magnifying glass located above the task list

  • Type your search query, which can include keywords from the body of the task, the project's name, or the contact's name

To sort your tasks:

  • Click the filter icon above the task list

  • Choose from sorting options including:

    • Project: Sorts by associated project

    • Assignee: Sorts by the person assigned to the task

    • Before/After due date: Sorts by the task's due date


Customizing your task view

You can customize how tasks are displayed using the Display settings in the upper right of the page (looks like three horizontal lines).

Changing views

  • Click Board to switch to a Kanban-style board view

  • Click Table to return to the default table view

Grouping tasks

You can group tasks by:

  • No grouping: Displays tasks without any specific grouping

  • Assignee: Groups tasks under each assigned team member

  • Status: Groups tasks by status (To Do and Completed)

Toggle Show empty groups to display or hide groups that currently have no tasks assigned to them.

Customizing columns

Control which properties are visible on each task's entry:

  • Toggle the eye icon next to each property (Task, Project, Assignee, Due Date, Comments) to show or hide the corresponding property

  • Click Hide all or Show all to quickly manage all columns

  • Drag and drop these properties to reorganize their display order within each task entry


Creating a task

To create a new task:

  1. Click + New Task in the top right corner of the page

  2. A side panel titled "Task Details" will open

  3. In the Task field, describe the task

  4. To set a due date (optional):

    • Click the Select due date field under "Due Date"

    • Select a date from the calendar

    • Optionally, check Include time to specify a time for the task

  5. To associate the task with a project, click the dropdown under Project (optional) and select a project

  6. To make the task private (visible only to you and not assignable to others), toggle the Private Task switch

  7. To assign the task to a team member, click the dropdown under Assigned to (optional) and select a team member

  8. Click Save at the top right of the side panel to create the task

  9. Click Comments & Files to add comments and files after the task has been saved

Managing tasks

Editing an existing task

  1. Click on any task in the list to open its "Task Details" side panel

  2. You can modify the task description, due date, project, private task status, and assignee directly from this panel

  3. Click the expand icon (two diagonal arrows pointing outwards) in the top menu of the side panel to view the task details in a full-screen editing mode

  4. Click the collapse icon (two diagonal arrows pointing inwards) to return to the side panel view

  5. Remember to click Save after making any changes

Adding comments and files

  1. Open a task by clicking on it

  2. Click the Comments & Files tab

  3. To add a comment:

    • Type your comment in the Write a comment... field

    • Click Submit comment to add it

  4. To upload files:

    • Click Upload document or drag and drop files into the designated area

Marking tasks as completed

To mark a task as complete, simply click the circular checkbox next to the task's title in the main task list. A "Task updated successfully" notification will appear, and the task will move to the "Completed" filter view.

Where to find your tasks in Dubsado

Tasks appear in multiple locations throughout Dubsado for easy access:

  • The main Tasks page (accessible from the left navigation menu)

  • The Home page within the Tasks widget

  • Inside individual Projects (if the task is associated with a project)

  • On the Calendar page (if the task has a due date)

When viewing a task on the calendar, you can click on the calendar entry and check the circle next to the task to mark it as complete directly from there. You can also mark tasks as complete from within the Tasks tab of the associated project.

Viewing tasks within a project

  1. Navigate to the Projects section from the left-hand menu

  2. Click on a specific project

  3. Within the project's detail view, click the Tasks tab

  4. You will only see tasks that are specifically associated with that particular project

Creating tasks with workflows

Workflows can automatically create tasks at specific points in your process. This is an excellent way to ensure consistent follow-up and maintain your standard procedures.

To create a task within a workflow:

  1. Navigate to the workflow editor

  2. Add a Create task action

  3. Configure the task details, including who it's assigned to and when the task should be created

Task notifications

Stay informed about tasks assigned to you by enabling task notifications:

  1. Go to Settings βž” Notifications

  2. Enable the Task assigned to me notifications

  3. Choose your preferred notification method (email and/or browser)

When you assign a task to a team member, they'll receive a notification if they have their notifications enabled.


FAQ

Why isn't my task appearing in the list?

Check your current filter. If you've created a new task, ensure you are in All Tasks or To Do view. If it's a completed task, check the Completed view.

Why can't I assign a task to someone?

If the Assigned to field is disabled, check if the Private Task toggle is enabled. Private tasks cannot be assigned to others. Disable Private Task to enable assignment.

Why aren't my comments or files saving?

Ensure you click Submit comment for comments and that files are fully uploaded and associated with the task before closing the task details panel. For overall task edits, remember to click the Save button in the top right of the task details panel.
