Using task boards

Overview of task boards

Task boards provide a visual way to manage tasks using customizable columns. Whether you're tracking internal to-dos or collaborating with clients on project deliverables, task boards help you see your work at a glance and move tasks through different stages as they progress.

You can create task boards for general use across your brand, or create project-specific boards that live within individual projects. Project-specific boards can also be shared with clients through the client portal.


Accessing task boards

There are two main ways to access task boards:

From the main navigation menu:

  1. Click Tasks in the left-hand navigation menu

  2. Click the Task boards tab at near top of the page

From within a project:

  1. Select any project from your Projects list

  2. Click the Tasks tab at the top of the project

  3. Click Task boards

From Tasks ➔ Task boards, you'll see a list of task boards on the left side of the screen. Click any board to view its columns and tasks in the main area.

When viewing task boards within a project, only task boards that have been applied to that project are displayed by default.


Understanding the task boards interface

When viewing the main task boards area, the left panel displays a list of all available boards. The main area shows the selected board's columns and tasks.

Identifying project-specific boards:

Task boards associated with a project display the project name above the board title in the left panel. When viewing a project-specific board, the associated project also appears below the board title in the main view.

Identifying brand-wide boards:

Brand-wide task boards are task boards that are not associated with any project, so these task boards won't display a project name. These boards also show a folder icon in the top-right corner, which allows you to copy the board to a project.


Creating a task board

You can create a task board from two places: the main Tasks area, or within the Tasks tab of a project.

Creating a brand-wide task board

  1. Navigate to Tasks ➔ Task boards

  2. Click the plus sign (+) icon next to Task boards in the top bar

  3. Enter a title for your new task board

  4. Click inside the New column field and enter a name for your first column

  5. Click Add task within the column to create your first task

  6. In the task details panel that appears on the right, enter the task name and any additional details

  7. Click Save

You can add more columns by clicking Add column to the right of your existing columns, and add more tasks by clicking Add task within any column.

Creating a task board within a project

  1. Navigate to the project where you want to create the board

  2. Click the Tasks tab, then click Task boards

  3. Click the plus sign (+) icon next to Task boards in the top bar

  4. In the modal that appears, choose one of the following:

    • Create a new board from scratch: Enter a board name and click Create

    • Copy from an existing board: Select an existing brand-wide task board from the dropdown and click Copy board

When you copy from an existing board, all columns and tasks from the original are duplicated into your project. The original brand-wide board remains unchanged.


Working with columns and tasks

Create and edit columns and tasks, as well as set details like due dates, teammate assignments, and more.

Adding and editing columns

  • Click Add column to create a new column on the right side of your board

  • Click a column's header to rename it

  • Drag and drop column headers to reorder columns on your board

Adding and editing tasks

  • Click Add task within any column to create a new task

  • Click on any existing task to open the task details panel

Task details

When you click on a task, the task details panel opens on the right side of the screen. From here, you can:

  • Edit the task name

  • Set a due date (and optionally include a specific time)

  • Associate the task with a project

  • Change which column the task belongs to

  • Enable Private Task to make the task visible only to team members

  • Assign the task to a team member

Click Save after making any changes. Once saved, you can also access Comments & files to add notes or upload attachments.

Drag and drop

You can drag and drop tasks to reorder them within a column or move them to a different column. This makes it easy to update task progress as work moves through your workflow stages.


Copying a task board to a project

You can copy any brand-wide task board to a specific project. This creates a duplicate of the board within the project while leaving the original board unchanged. Navigate to Tasks ➔ Task boards and follow these steps:

  1. Select the brand-wide task board you want to copy

  2. Click the folder icon in the top-right corner of the board

  3. In the modal that appears, search for and select the project you want to copy the board to

  4. Click Create

A confirmation message will appear with a link to navigate directly to the project.


Managing task board privacy

When a task board is associated with a project, you can control whether clients can see and interact with it through their client portal.

  1. Open the task board within the project

  2. Click the Privacy dropdown in the top-right corner of the board

  3. Select one of the following options:

    • Private: Only team members can view and edit the tasks on this board

    • Client: Anyone with access to the client portal for this project can view, edit, add tasks, upload files, and mark tasks as complete


Filtering, sorting, and managing boards

You can filter and sort your task boards to find the task board you're looking for more easily.

Filtering and sorting

Above the list of boards on the left, you'll find options to filter and sort your task boards:

  • Sort by title: Click Title to toggle between ascending and descending alphabetical order

  • Filter: Click Filter to narrow down your boards by title keywords or by associated project

Duplicating a task board

To create a copy of an existing task board:

  1. Select the task board you want to duplicate

  2. Click the Duplicate icon (two overlapping squares) in the top-right corner

A new board will be created with "(Copy)" appended to its name, including all columns and tasks from the original.

Deleting a task board

To delete a board, select it and click the Delete icon (trash can) in the top-right corner.

Deleting a task board is permanent and cannot be undone—all columns and tasks within the board will be permanently removed.


FAQ

Why aren't my board tasks appearing in the main Tasks list?

Tasks created within a task board will only appear in your main Tasks list if they have a due date and/or are assigned to a team member. If neither of these are set, the tasks remain board-specific and are only visible within their respective task board.

I copied my task board to a project, but the original board seems to be gone. Where is it?

The original board is still in your main Task boards list. The "Copy to Project" function creates a duplicate of the board within the selected project, and it doesn't move or remove the original brand-wide board.

When I try to change a task's project, it warns me the task will be removed from the current board. Why?

A task can only belong to one project's task board at a time. If you reassign a task that's currently on a board to a different project, it will be removed from its current board. If you want the task on the new project's board, you'll need to add it there separately.

My client cannot see the task board in their portal. What should I check?

Make sure the task board's privacy setting is set to Client. If it's set to Private, only team members can see it. Also confirm that the client has active access to their client portal for the project the task board belongs to.

My client can see the tasks but can't interact with them. How do I fix this?

Check the task board's privacy setting. When set to Client, clients can view tasks, add or edit tasks, upload files, and mark tasks as complete. If the setting is Private, clients won't be able to interact with the board at all.
