Add a project tracking element to your forms

Add a project tracking element to a form so clients can select how they heard about you, automatically tagging the project with a source.

Track where your leads and clients are coming from by adding a project tracking element to your forms. When a client submits a form with this element, Dubsado automatically tags the project with the source they selected.


What the project tracking element does

The project tracking element adds a dropdown to your form where clients select how they heard about you. When they submit the form, Dubsado automatically assigns the selected source to the project. The default question label is "How did you hear about us?" — you can edit this to anything you like.

Which form types support it

The project tracking element is available on lead capture forms, questionnaires, and proposals. It is not available on contracts or sub-agreements. You can only add one project tracking element per form.

The project tracking element requires a Premier plan. On a Starter plan, the element appears grayed out in the element palette with the message "To use this feature, upgrade to Premier."


Adding the project tracking element to a form

To get started, navigate to Forms ➔ Form Templates and open the form template you want to edit.

  1. In the element palette, click Project tracking to add the element to your form.

  2. Click the element in the form to open its settings.

Configuring project sources on the element

With the element selected, you can set up the sources your clients will choose from and adjust how the element behaves.

  1. Click the Project sources field to open the source dropdown.

  2. Select any existing project sources you want to include.

  3. To create a new source without leaving the form builder, click New project source in the dropdown. Enter a Source name, choose a color, and click Create.

  4. Repeat to add as many sources as you need.

  5. Drag the selected sources to reorder them — clients will see them in the order you set.

  6. Toggle Required to Yes if you want clients to be required to select a source before submitting.

  7. Edit the Question field to change the label clients see (defaults to "How did you hear about us?").

  8. Save your form when you are done.

Clients filling out the form do not see source colors. Colors are internal only and help you visually differentiate sources in your reports and project views.


Viewing the source on a project

After a client submits a form with the project tracking element, the selected source is automatically assigned to their project. To view it, go to Projects, select the project, and open the Details tab. Under Project info, look for the Source field — it displays the assigned source as a colored chip.

You can also manually change the source from this same field at any time.

If a project already has a source assigned and a client submits a form with a project tracking element, the source selected on the form replaces the existing source on the project.


FAQ

Can I add more than one project tracking element to a form?

No. Each form can only have one project tracking element. If one is already present, the element will be grayed out in the element palette with the message "You can only have one project tracking element on your form."

Why is the project tracking element grayed out in my form builder?

There are two possible reasons. First, the form may already have a project tracking element — only one is allowed per form. Second, you may be on a Starter plan. Upgrade to Premier to access this feature.

Do clients see the source colors when they fill out the form?

No. Source colors are internal only. Clients see a plain dropdown list of source names when they fill out the form.

What happens to the existing source on a project when a client submits a form with a project tracking element?

The new source replaces the existing one. The form submission overrides whatever source was previously assigned to the project.
