Every invoice in Dubsado is assigned a sequential number. You can change an invoice's number at any time to match your own numbering system.
Change an invoice number
You can access an invoice from the Invoicing page or from within a project's Invoicing tab.
Navigate to the Invoicing page and select the invoice, or open the project, click the Invoicing tab, and select the invoice.
Click Edit (pencil icon) on the invoice overview.
In the Invoice # field, enter the new invoice number.
Click Save.
The new number takes effect immediately.
How invoice numbering works
Dubsado uses sequential numbering and prevents duplicate invoice numbers across your workspace.
Sequential numbering
When you change an invoice number, future invoices are numbered sequentially from the highest invoice number in your workspace. For example, if you change an invoice to #500, the next new invoice is #501.
This applies to all new invoices in your workspace, not just invoices on the same project.
Duplicate invoice numbers
If you enter an invoice number that is already in use, Dubsado automatically assigns the next available number instead. The invoice saves with the reassigned number, and you'll see the updated number when the page refreshes.
To see which numbers are in use, navigate to the Invoicing page to view all invoices and their numbers.
To reuse an invoice number, first change the invoice that currently uses that number to something else, then assign the freed number to the invoice you want.
FAQ
Can I change the invoice number on a closed invoice?
No. Closed invoices cannot be edited. To change the number, reopen the invoice first, then follow the steps above.
Does changing the invoice number affect payments or transactions?
No. Changing the invoice number does not affect any existing payments, transactions, or payment plans on the invoice. The change updates the display number only.
Where can I see all used invoice numbers?
Navigate to the Invoicing page. The invoice list shows every invoice in your workspace along with its number, so you can identify which numbers are in use before choosing a new one.
