Exporting project data

Export your projects to a CSV file with project details, invoice totals, client information, and custom fields.

Export your projects from Dubsado to a CSV file you can open in Microsoft Excel, Apple Numbers, or Google Sheets. The export pulls project details, invoice totals, client information, and any custom mapped fields for the projects you're currently viewing.

This exports project data from the Projects page. If you want a list of contacts instead, with names, emails, and phone numbers, you can export your contact list.


Export your projects

You can export projects from the main Projects page, or from a specific contact's project history. Both locations use the same steps below.

  1. Navigate to the Projects page, or open a contact and click the Projects tab.

  2. Click the Export CSV icon (a download icon) at the top of the projects list.

  3. In the Export data to CSV dialog that opens, check the subtitle. It shows how many projects will be included, for example "Exporting 12 project(s)," based on your current view and filters.

  4. Under Fields to export, select the checkboxes for the columns you want in your file. Check a group heading to select every field in that group, or pick individual fields one at a time.

  5. Click Export to download the file, or Cancel to close the dialog without exporting.

The export only includes the projects visible in your current view and filters. Filter or search the Projects page first to control exactly which projects end up in your file.

What you can export

The Fields to export list is organized into groups. Here's what's available in each one.

Project details

  • Project title

  • Lead Or Job

  • Project status

  • Project location (country, city, address lines, name, state, and zip)

  • Contract status

  • Created date

  • Start date

  • End date

  • Tag

  • Team/user

  • Source

  • Archived

Invoices

  • Primary invoice paid

  • All invoices paid

Client details

  • Client first name

  • Client last name

  • Client phone

  • Client email

  • Client address (and address sub-fields)

  • Alt contact first name, last name, phone, and email

  • Company name

  • Company phone

  • Company email

Custom mapped fields

Custom mapped project fields and custom mapped client fields appear in their own groups, titled exactly as you named them in your custom field settings.

How values appear in your file

Most column names and values in your file match what's shown in Dubsado exactly. A few columns are worth calling out because their values look different than you might expect:

  • Lead Or Job: appears as "Lead" or "Job."

  • Contract status: appears as "Needs sending," "Sent," or "Signed."

  • Team/user: lists a mix of team names and individual users. You won't see individual members within a team.

  • Archived: appears as "Yes" or "No."

  • Primary invoice paid and All invoices paid: appear as a number without a currency symbol.

  • Custom mapped fields: column names appear exactly as you typed them in your custom field settings.


FAQ

Who can export project data?

Accountant users can't export project or contact data. Basic users can export the projects assigned to them, with the same full set of fields available to owners and admins. Owners and admins can export everything they have access to view.

Can I export on mobile?

Yes, you can export from the mobile site by visiting Dubsado in your phone's browser.

Can I export in a different file format?

No, exports are CSV files only. You can open a CSV file in Excel, Numbers, or Google Sheets.

Why isn't my file downloading?

If your file doesn't download, try a different browser or disable browser extensions that might be blocking downloads. Also double-check your internet connection.
