After you connect Dubsado and Zapier, you can build Zaps that start from something happening in Dubsado (a trigger) or that create something in Dubsado (an action). This article lists every Dubsado trigger and action available in Zapier, the information each one can pass along, and a few ideas to get you started.

Dubsado triggers in Zapier

A trigger is an event in Dubsado that starts a Zap. Zapier watches for the trigger to happen, then pulls in the mapped information so the rest of your Zap can use it.

New Project as Lead

This trigger watches for a new project with a lead status to be created in Dubsado. That can happen manually from the projects list, or automatically when a client fills out a lead capture form or public proposal that's set to create a lead-status project.

Here's all the information available to map with the New Project as Lead trigger:

The "pretty" version of a date field is a human-readable format, like "Wednesday, November 20, 2019 5:00 PM," instead of the raw timestamp. Use the pretty version when you want to print the date as text; some situations may still call for the original format.

A few ideas for using the New Project as Lead trigger:

  • Send yourself an SMS notification each time you get a new lead in Dubsado.

  • Create a new Asana task each time you get a new lead in Dubsado.

  • Add a new lead as a Mailchimp subscriber. You're responsible for your own compliance with email marketing and privacy laws when you do.

New Project as Job

This trigger works exactly like New Project as Lead, except it fires when a project with a job status is created instead. It maps the same fields listed above.

A couple of ideas for using the New Project as Job trigger:

  • Create or update a spreadsheet row in Google Sheets when you get a new job in Dubsado.

  • Send a channel message in Slack to notify your team when you get a new job in Dubsado.

New Payment Received

This trigger watches for a payment made on a Dubsado invoice through any of Dubsado's three payment processors: Dubsado Payments, Square, or PayPal.

Here's all the information available to map with the New Payment Received trigger:

  • Project Title

  • Amount Paid

  • Payment Method

  • Date Paid

  • Date Paid Pretty

  • Invoice ID

  • Invoice Number

  • Invoice Date

  • Invoice Total

  • Invoice Subtotal

  • Invoice Discount Total

  • All Client, Alt Contact, Client Address, Company, and Custom Mapped Client fields

Manually applied (manually logged) payments don't fire this trigger. Only payments made through a payment processor start a New Payment Received Zap.

The "pretty" version of any amount or total field is already formatted as dollars with a decimal point, so no further calculations are necessary.

A few ideas for using the New Payment Received trigger:

  • Record a sale in Wave when a payment is made in Dubsado.

  • Create a sales invoice in Xero when a payment is made in Dubsado.

  • Update an existing contact in ActiveCampaign when a payment is made in Dubsado.

Contract Signed

This trigger fires when any contract is signed by a client. If you want to control when the Zap runs, you can add a filter to your Zap.

In addition to all the fields available with New Project as Lead, the Contract Signed trigger includes:

  • Contract Name

  • Date Signed

Project Status Updated

This trigger watches for a project's status to change. It doesn't fire when a project is created with a status assigned at the same time; that's what the New Project as Lead and New Project as Job triggers are for.

This trigger fires anytime:

  • A project status is manually changed from within an individual project.

  • The status of one or more projects is changed from the projects list, individually or through bulk actions.

  • A flow changes the status of a project.

As with the Contract Signed trigger, you may want to add a filter to your Zap to control when it runs.

In addition to all the fields available with New Project as Lead, the Project Status Updated trigger includes:

  • Current Project Status (the new status)

  • Previous Project Status (the old status)


Dubsado actions in Zapier

Dubsado currently offers one action in Zapier: creating a project from another app.

Create Project

This action creates a new project in Dubsado based on a trigger from another app.

When you set up the Zap, you can map information from other apps into these Dubsado fields:

  • Project Title (required)

  • Project Start Date

  • Project End Date

  • Project Location Name

  • Project Location Address Line 1

  • Project Location Address Line 2

  • Project Location City

  • Project Location State Province

You can also choose to automatically assign the following to every project created from this action:

  • Project Status

  • Project Source

  • Workflow

Any project created from this Zap is assigned the same project status, project source, and workflow. If you need different values for different situations, you can create multiple Zaps or use filters and paths to control what gets assigned.

A couple of ideas for using the Create Project action:

  • Create a new project in Dubsado when someone books with you through Acuity.

  • Create a new project in Dubsado when a Typeform is submitted.
