Share the client portal

Once you've activated a client's portal, you can share it two ways: a public portal link (or embed code) that any client logs into with a password, or a client-specific link you send from a project or contact that lets the client sign in with just their email address.


Public vs. client-specific portal link

Before you share a client portal, it helps to know the two ways clients can get in. Which one you use depends on whether you're sharing broadly or with one specific client.

  • The public portal link or embed code. Any client can use this to log in, but each client needs a portal password set first, or they'll get an error when they try to log in.

  • The client-specific link. This link is sent from a client's project or contact. The client logs in with their email address, no password required.

The public link and embed code only work for clients who have a portal password set. The client-specific link doesn't require a password.


Share the public portal link and embed code

The public link and embed code both come from the same place in your settings, and work the same way for any client with a password set.

  1. Navigate to Settings ➔ Client portal.

  2. Scroll to the Sharing card at the bottom of the page. You'll see two fields side by side: Sharing link and Embed code.

  3. Click the copy icon next to either field to copy it to your clipboard. A confirmation message appears letting you know the link or code was copied.

The embed code drops the portal login directly into your own website, the same way you'd embed a lead capture form.

Only clients with a portal password set can log in through the public link or embed code.


Share the client-specific portal link

The client-specific link is the fastest way to get one client into their own portal, and you can send it from either their project or their contact record.

  1. Open the project, or open the contact, and go to the Details tab or sidebar.

  2. Find the Portal card and click Share.

  3. Choose one of the three options:

    • View portal: Opens the client's portal login page in a new tab so you can preview it before sharing.

    • Copy link: Copies the client-specific link to your clipboard so you can share it however you like.

    • Send link: Opens an email composer pre-filled with your portal email template. Review the subject and body, then click Send to email the client their link.

Sending a link through the composer doesn't send the email automatically. You still need to click Send to deliver it to your client.

Each client-specific link is unique to that client. Don't publish or reuse a client-specific link for public access. Use the public portal link in Settings ➔ Client portal for that instead.


FAQ

Do my clients need a password to open their portal?

Only if you're sharing the public link or embed code. In that case, you need to set a portal password for each client first. If you send the client-specific link from their project or contact instead, they log in with their email address and no password is needed.

What's the difference between "Copy link" and "Send link"?

Both use the same client-specific link. Send link opens a pre-filled email composer so you can review and send the link yourself. Copy link puts the link on your clipboard so you can share it however you prefer, without composing an email.

Can I preview a client's portal before sharing it?

Yes. Click Share on the Portal card, then choose View portal to open the client's portal login page in a new tab.
