The Dubsado Calendar is a centralized place to keep track of your scheduled appointments, project dates, tasks, and client payment installments. It helps you manage your workload and stay on top of important deadlines.
To get the most out of the Dubsado Calendar, as well as other great features like scheduling, make sure to connect your external calendar account to your brand by heading to Settings β Calendar & time zone or Events β Settings.
What events show on the calendar?
There are a variety of events and items in Dubsado that can be associated with a particular date. In general, if you can apply a date to something, it will appear on your Dubsado Calendar.
See below for a full list of events that appear on your calendar:
Appointments booked via the Scheduler
Lead Projects and Job Projects with a start and/or end date
Tasks that have both a due date and assignee
Internal events created manually from the Calendar or from within a project
Payments due from payment plan installments
External calendar events imported from your connected calendar account, if connected and enabled
Filtering events on the Calendar
You can filter the events that appear on your calendar by event type.
To apply a filter, use the Event Types Filter on the right side of the screen. Uncheck the box next to any event type to hide those events from the calendar. Check the box again to restore the events to the view.
You can use Select All or Clear All to quickly manage visibility of all event types.
Event Colors on the Calendar
Each event type on the calendar is color-coded for easy identification:
Lead Projects: Purple
Job Projects: Blue
Tasks: Orange
Appointments: Green
Payments due: Red
External calendar events: Yellow
Internal events: Pink
The shading of the event color indicates its time duration:
Darker Shade: Indicates an All-Day event.
Lighter Shade: Indicates a Timed event that takes place within a specific time range (e.g., 9:00 AM to 5:00 PM).
Switching calendar views
You can change the way the calendar displays events using the view selector in the top-right corner.
To switch views:
Click the current view selection (default is Month) next to the date navigator.
Select the desired view from the dropdown: Month, Week, Day, or Upcoming Events.
Tip: Use keyboard shortcuts to quickly change views:
Press M for Month view
Press W for Week view
Press D for Day view
Press E for Upcoming Events list view
Use the arrow icons < > at the top of the page to navigate to the previous or next month, week, or day, depending on your current view. If your current view doesn't contain today's date, you can click Today at the top of the page to automatically return to viewing today's date in whichever view you're currently using.
Adding events to the calendar
You can create new events directly from the Calendar view.
Click + New Event button located above the main calendar view to add a new event. A sidebar titled New Event will open on the right.
You can also click on any day or time within your current view to open a pop-up that allows for a new event to be created. Choosing to create a new event by clicking on a specific date or time automatically sets that as the event's date.
To create a new event:
Click the existing event type (default is Internal Event) to select the appropriate type: Lead, Job, Task, or Internal Event.
Add Title: Enter the name or title of the event.
Set the Date and Time:
Click the date to adjust the date.
Click the time range to set the start and end times.
Check the All day box if the event spans the entire day.
Add location and Add description as needed.
Select a job to associate the event with a specific project.
Click Save.
Viewing and managing events on the calendar
To view additional details about a calendar event, simply click on the event.
Clicking any event on the calendar will open a metadata pop-up providing specific details and management options for that instance. The pop-up will show:
Event title
Event date (and if applicable, the event time)
Associated contact
Event type
Event location
Other relevant details based on the event type
When viewing an event, you can:
Select Edit to modify the event details (Note: External calendar events and payment plan due dates cannot be edited in this view)
Select Delete to permanently remove the event (Only Tasks, Internal Events, and Appointments can be deleted in this view)
Some event types also allow you to take additional actions, like rescheduling an appointment, checking off a task, or heading directly to a project or invoice.
Viewing events in projects
When viewing events within a specific project, the calendar is automatically filtered to show only those events relevant to that project.
Navigate to Projects and click on a specific project name to open the project details view.
Click the Events tab within the project navigation bar.
The calendar view will default to Upcoming Events list view, showing only items related to this specific project (e.g., associated invoices, tasks).
You can change the view to Month, Week, or Day within the project context, but only project-related events will be displayed.
FAQ
Can I see my teammate's calendars and vice-versa?
Each Dubsado user can connect their own external calendar account for event syncing. Only that user will be able to see the events imported from their connected calendar.
Keep in mind that the events that show on a given calendar depend on the events that the user has access to. For example, a Basic user can only access projects they are assigned to, and will therefore only see events associated with those projects.
How do I connect my external calendar?
Click Settings while viewing the Events tab to navigate to your external calendar settings. From there, click Connect an account to initiate the external calendar connection process. The following calendar services can be used:
iCloud
Google
Office 365
Exchange
Outlook
You'll need to agree to the Cronofy terms of service and privacy policy to proceed. Cronofy is a third-party service that Dubsado uses to connect your external calendar account to Dubsado.
Can I connect multiple calendars?
You can only connect to one external calendar account at a time. However, if you have multiple calendars shared externally with one main calendar, those additional calendars can be used with Dubsado so long as they are shared with full read, write, and edit permissions. Just make sure to sign into the main calendar account.
