Every client portal starts out deactivated. Before your contact can log in and use their portal, you need to activate it, either by hand on the contact or project, or automatically with a flow.
Manually activate or deactivate a portal
Whether you're working from a project or from a contact's profile, portal activation lives in the same place: the Portal card on the Overview tab.
From a project: Projects ➔ select the project ➔ Details tab or sidebar ➔ Portal card.
From a contact: Contacts ➔ select the contact ➔ Details tab or sidebar ➔ Portal card.
To turn the portal on or off, use the toggle switch in the Portal card's header. Toggle it on to activate the portal, or off to deactivate it. The card also shows a status line reading "[Contact name]'s portal is online" when it's active, or "offline" when it's deactivated.
Deactivating a portal doesn't delete anything. Forms and other items still sync to the portal while it's off. Your contact just can't reach them until you turn the portal back on.
The Portal card also includes a banner image uploader, so you can personalize how the portal looks to your contact.
Set a password for the portal
You can set a password specific to each contact's portal directly in the Portal card.
In the Portal card, click the Password field (it shows the placeholder text "Enter a password").
Type a password.
Click the check icon to save, or the X icon to cancel. These icons only appear once you've changed the value.
A portal password is optional. Without one, your contact logs in with their email address. Set a password when you want an extra layer of access control.
Automatically activate or deactivate a portal with a flow
If you'd rather not activate portals by hand, you can automate it with a flow. Two flow actions handle this: Activate Portal, which allows a contact to access their portal, and Deactivate Portal, which removes their access. Both actions live under the Project Management category in the flow action picker.
Share the portal with your contact
Once a portal is active, you can share it with your contact using the Share dropdown button in the Portal card's header. The dropdown offers View portal, Copy link, and Send link, so you can grab a link or send it directly from Dubsado.
FAQ
Can I automatically set a portal password in a flow?
No, there's no flow action that sets a portal password. As a workaround, add a Create Task action to remind yourself to set the password before the flow continues.
Do forms still get sent to a deactivated portal?
Yes. Forms are still added to the portal even while it's deactivated. Your contact just can't access the portal or those forms until you activate it again.
