The Dubsado mobile app allows you to customize emails as though you were working from your desktop computer. Add links and smart fields, use canned emails, and enjoy rich text editing when sending an email -- all from your mobile device!


Customization toolbar overview

When sending an email in the Dubsado mobile app, tapping into the body of the email brings up your device’s native keyboard. The customization toolbar appears along the top of the keyboard.

The customization toolbar contains a variety of ways to augment and tailor your emails.

  1. Tap the plus (+) icon to attach images, files, project links, and external URLs.

  2. Tap the envelope icon to select and apply canned email templates.

  3. Tap the brackets icon to select and apply smart fields.

  4. Tap the A icon to access the rich text editing options.

  5. Tap the keyboard icon to minimize the keyboard and preview your email.


Adding images, files, and links

When composing an email, tap the plus (+) icon to add images, files, or links. After tapping the plus (+) icon, you can:

  • Tap Attach image to choose an image from your mobile device’s native photo service.

  • Tap Attach file to select a file from your mobile device’s native storage.

  • Tap Insert project link to add the link to any Dubsado content that’s already been applied to the project (contracts, forms, schedulers, and invoices).

  • Tap Insert text link to create a custom hyperlink or button within the email.

Using the Insert project link option functions the same way that the Links button functions on the Dubsado desktop site; if you haven’t yet added a piece of content to the project, you won’t be able to add its link to the email. So, make sure to add your content to the project before trying to send a link to your client.

To add content to the project, head to the Forms tab to add a contract or form, the Invoices tab to add an invoice, or the Scheduling tab to add a scheduler. Then, you can add that content’s link to an email using the Insert project link button.


Using canned emails

Tap the envelope icon to access your canned email templates.

When choosing a canned email template, you can scroll up to view the entire list of canned emails. Each canned email template’s title is bolded, and the canned email template’s subject line appears underneath.

Tap Search templates to search by the title or subject line of your canned email template.

💡 Pro tip: the Search templates field also searches the email body of your canned email templates, so entering a keyword or phrase that appears in the email’s body can help you find your desired canned email!

Tap on a canned email to automatically add the canned email template to the email you’re composing.

Just like on desktop, it’s wise to proofread your email to ensure all links and smart fields have populated properly. Smart fields will appear blank in your email if there is no correlating data in the project, client, or brand for that field.

  • Example: if your canned email template uses the {{client.phone}} smart field but you don’t have the client’s phone number saved, that smart field will show up blank.

Likewise, if your canned email template includes a project link, make sure you’re using that canned email in the proper context.

  • Example: selecting a canned email that includes a {{form | formLink}} smart field will result in an error if you haven’t first selected a form to send in the Forms tab.


Using smart fields

Tap the brackets icon to access the smart field menu.

Smart fields can help you save time by automatically populating information that you’ve saved within Dubsado. Learn how to personalize your canned emails with smart fields, or check out our smart field reference guide for more information.

When composing an email in the mobile app, you can choose from a wide variety of smart fields. You can tap:

  • Project: smart fields that display information specific to the project.

  • Client: smart fields that display information specific to the client.

  • Brand: smart fields that display information specific to your business.

  • Date: smart fields that display the date and/or time.

  • Links: smart fields that add a link to the primary invoice, contract, client portal, or the client portal password.

Tap on a category to see all of the smart fields within that category. Then, tap plus (+) icon or the name of your desired smart field to add that smart field to your email.

When the smart field is added, it should automatically populate with the relevant information. If you add a smart field to an email and nothing appears within the email body, this likely means that there’s no data saved for the smart field you selected.


Rich text editing

Tap the A icon to access the rich text editing options.

Unlike the other options in the customization toolbar, the rich text editing options appear as a horizontal scrollbar that sits atop your device’s native keyboard.

Scroll left and right through the menu to select the desired text editing option. Depending on the change you want to make, you may need to select or highlight your text before selecting one the options below. You can:

  • Tap the X icon to close the rich text editing menu.

  • Tap the Aa button to select the font, text color, and font size.

  • Tap the Links button to create a custom hyperlink or button using a URL.

  • Tap the B, I, or U icon to bold, italicize, or underline your text.

  • Tap the block quote button to add a block quote to your email.

  • Tap the eraser icon to clear all formatting on selected text.

  • Tap the text alignment buttons to left align, center, or right align your text.

  • Tap the bulleted list button to add an unordered list.

  • Tap the numbered list button to add an ordered list.

  • Tap the counterclockwise icon to undo your most recent change.

  • Tap the clockwise icon to redo your most recent change.

💡 Pro tip: use the eraser icon to remove all formatting on text that you’ve copied from outside of Dubsado.

Sometimes, text copied from places like Microsoft Word or other text editing softwares will have formatting applied that can make manipulating that text difficult. Clearing the formatting on your copied text will make formatting your email within Dubsado much easier.
