All forms on Dubsado are secure and operate over an SSL connection. But by default, anyone with the unique link to a form can access it.
For most users, the default privacy setting is adequate and keeps it easy for your clients to access the forms you send them. But, if you would like to add a layer of protection to a form, you can require a password!
How to Make a Form Private
By default, all forms are Public. This means anyone with the unique link to the form can view it. For example, if your client were to forward an email with a link to the contract you sent them, the recipient of that email could click on the link and view the contract at any time.
If you would like to require your client to enter a password to view a form, you can change the form Privacy Settings to Private:
- Open a form template or individual form in a project to Edit.
- Click on the Settings tab.
- Under Privacy Settings, select Private.
- Save the template or form.

- Form Template so that the form will always require a password whenever it's added to a project.
- Individual Form that has already been added to a project so that the privacy setting is specific to that form for that specific client. The master template will not be changed.
Forms that require a password will be identified with a Private badge when added to a project. Forms set to Public will have a Link Only badge.
How to Set a Password for Private Forms
Clients receiving Private forms MUST have an active client portal. Private forms work by requiring the client to log into their client portal before they can access the form. So if the portal is not active, the client will not be able to access the form.
Additionally, you must set a custom password for the client portal. If a custom password is not set for the client portal, the client will not be able to access the form.
To recap, BEFORE you send your client a private form, the Portal section in the left sidebar of the project should look like this (but hopefully with a more secure password!):

How to Activate the Portal and Set a Password:
- Inside the client's project, locate the Portal section of the left sidebar.
- Check that the portal status is Active. If the status is Not Active, click on the dropdown arrow next to Portal and select Activate.
- Check that a portal password has been set. If no password is set, click on the text (click to set) and enter a password. Click the checkmark to save.
- Ensure that your client knows the password. An easy way to do this is to click the dropdown arrow next to Portal and select Send. This will generate an email to the client with the password and a link to their portal.
When your client clicks on the link in the email to open their form, they will be prompted to enter their email and portal password.
Which form types can be private?
All forms have the ability to be private... even lead capture forms! Lead capture forms when private are STILL visible publicly when embedded. After a lead capture form marked as private is completed, it will require a password to view.
Can my client create their own password for the portal / forms?
No, not at this time. Passwords are only set by you.
If my client is already logged into their client portal, do they need to enter the password again to view a private form?
No, the form does not need to be unlocked again if the client has already logged into the portal.
