Project tags

Project tags help you identify and filter your projects within Dubsado more easily. While project statuses help you track the phases of your business flow, project tags help you differentiate between projects.


What are project tags used for?

You can create as many project tags as you like to organize your projects in ways that make sense for your business.

Common uses for project tags include:

  • Differentiating between the types of services you offer

  • Identifying new clients versus returning clients

  • Marking projects by season, location, or priority level

  • Categorizing projects for reporting purposes


Applying and managing tags

Tags are managed in-line directly from the Projects page, in both Board view and Table view.

In order to access tags from the Projects page, Tags must be enabled in your Display settings. Click the Display button, and under the Shown in table area, make sure the eye icon next to Tags is not crossed out.

If Tags is disabled, you won't see the Tags field on your project cards or table rows, and you won't be able to manage your tags from the Projects page.

To open the tags modal:

  • In Board view: Click the Tags field on any project card.

  • In Table view: Click the Tags column on any project row.

Once the tags modal is open, you can select any existing tag from the list to apply it to that project. You can also type into the Search or create tag field to search for an existing tag by name.

Your archived tags are listed below your active tags in the modal.


Creating a new tag

To create a new tag, type a name into the Search or create tag field in the tags modal. If the text you enter doesn't match an existing tag, the system will prompt you to create a new tag based on the text you entered.

When a new tag is created, the system automatically assigns a color to it. You can update the color after the tag is created by clicking the three dots (...) icon next to the tag and choosing a new color.


Editing tags

To edit an existing tag, open the tags modal and find the tag in the list. Click the three dots (...) icon next to the tag to access the following options:

  • Rename the tag

  • Choose a new color for the tag

  • Archive the tag

  • Delete the tag


Archiving and restoring tags

Archiving a tag removes it from your active tags list in the modal, but the tag still appears under the Archived section at the bottom of the list.

To manage an archived tag, find it under the Archived section in the tags modal and click the three dots (...) icon next to it. From there, you can:

  • Rename the tag

  • Choose a new color for the tag

  • Restore the tag to your active tags list

  • Delete the tag

Archiving a tag does not remove it from any project where the tag is currently applied. Deleting a tag removes it from all projects where it is applied, and deleted tags cannot be recovered.


Other ways to apply tags to projects

In addition to applying tags in-line from the Projects page, tags can also be applied in the following ways:

  • During project creation: Add tags when creating a new project by clicking additional details (see Creating projects)

  • From within a project: Open the project's Details tab and click the Tags field to add or remove tags

  • Automatically via workflow: Set up a workflow to apply tags based on specific triggers or conditions


FAQ

What's the difference between archiving and deleting a tag?

Archiving a tag removes it from your active tags list and filter options, but the tag remains applied to any projects where it was previously assigned. You can unarchive a tag at any time.

Deleting a tag permanently removes it from your account and from all projects where it is currently applied. Deleted tags cannot be recovered.

Why would I want to archive a tag instead of deleting it?

Archiving tags helps you stay organized without losing historical data. For example, if you have a tag for a specific service you no longer offer, you might want to archive that tag so it doesn't clutter your active tags list. However, you'd still want to keep that tag applied to past projects for reference and reporting purposes.
