Track where your inquiries are coming from and measure how well different lead sources perform.


Overview of project reports

Project reports give you insight into where your projects originate and how those sources contribute to your business success. By tracking project sources and analyzing their performance, you can make informed decisions about where to focus your marketing efforts.

Within the project reports page, you can:

  • View key metrics about project creation and conversion rates

  • Analyze trends in project creation over time

  • Compare performance across different lead sources

  • Create and manage your project sources


Accessing project reports

To access the project reports page, navigate to the Home page and click the Project Reports widget title. This opens the full project reports page where you can view detailed metrics and manage your project sources.


Key performance metrics

At the top of the project reports page, four metrics provide a snapshot of your business activity for the selected time range:

  • Projects created: The total number of projects created during the selected timeframe, including the number of projects without an assigned source.

  • Net profit: Your total profit for the selected timeframe, displayed alongside your total revenue.

  • Avg. projects/week: The average number of projects created per week, including the average number of projects created without a source.

  • Conversion rate: The percentage of projects that have received at least one payment compared to your total number of projects.

Setting your timeframe

At the top of the page, click the date range to adjust the timeframe for all metrics and charts. You can select from preset options including:

  • Last 7 days

  • Last 14 days

  • Last 30 days

  • Last 60 days

  • Last 6 months

  • Last 12 months

  • Month to date

  • Quarter to date

  • Year to date

  • Custom date range

If your charts appear empty, verify that you have selected a timeframe that includes project activity.


Projects created chart

Below the key metrics, a line graph displays project creation trends over the selected timeframe. This visualization helps you identify patterns in when new projects are coming in.

To filter the chart by specific project sources, click the Filter icon in the top right corner of the chart and select which sources you want to display.


Projects by source chart

Further down the page, a bar graph compares the number of projects generated by each source. This makes it easy to see which marketing channels bring in the most inquiries.

To also display revenue data alongside project counts, toggle the Show revenue option in the top right corner of the chart.


Source performance table

At the bottom of the page, a table lists all of your project sources along with their performance data:

  • Source name: The name of the project source.

  • Paid projects: The number of projects from this source that have received at least one payment.

  • Total projects: The total number of projects assigned to this source.

  • Conversion rate: The percentage of projects from this source that converted to paid projects.

Use the search bar above the table to find a specific source by name.

Viewing projects by source

Click the arrow icon on the right side of any source row to open the main Projects page, automatically filtered to show only projects with that source assigned within the selected timeframe.


Creating a project source

You can create project sources from two locations within Dubsado.

From the project reports page

  1. Click + New source in the top right corner of the page.

  2. Enter a name for your source.

  3. Choose a color for the source. The color is purely aesthetic and internal, and helps you visually differentiate sources in your reports.

  4. Click Create.

From the form builder

When using a project tracking element within a form, you can create new sources directly in the form builder.

  1. Add a Project tracking element to your form.

  2. In the element settings, view the list of existing project sources.

  3. Click New project source to create a new source without leaving the form builder.


Editing a project source

To edit an existing project source, click on the source row in the table at the bottom of the project reports page. From there, you can update the source name or change its assigned color.


Assigning project sources to projects

There are two ways to assign a source to a project:

Automatically via a form: Add a project tracking element to a Lead Capture form or Public Proposal. When a client selects a source option while completing the form, their project is automatically tagged with that source.

Manually: Use the Source dropdown on a project's entry on the main Projects page to edit inline. Or from within a project, find the Source dropdown in the project info column on the left side of the page to assign or change the source.

Understanding conversion rate

Your conversion rate shows how well projects from each source convert into paying clients. A project is considered "converted" when it has received at least one recorded payment. The conversion rate is calculated by dividing the number of paid projects by the total number of projects for each source.


FAQ

Can I assign more than one source to a project?

No. Each project can only have one source assigned. Choose the source that best represents where the inquiry originated.

What happens if I delete a project source?

If you delete a source, it will be removed from the source list, and any projects previously assigned that source will be considered to have no source. This affects your reporting metrics for projects without sources.

If I assign a source to an old project, how does that affect my reports?

Metrics for project sources are calculated based on each project's created date. If you assign a source to an old project, that project will only appear in the source metrics when your selected date range includes the time when that project was originally created.

Why do my charts show no data?

If your charts appear empty, check the date range selected at the top of the page. Make sure you have selected a timeframe that includes the dates when your projects were created.
