Need to send an email but not right now? Dubsado lets you schedule an email to go out at a later date and time, straight from the email composer.
Schedule an email for later
Navigate to the Messages tab of a project, or open the global Messages page. Open an existing email thread or start a new email. The email needs to be associated with a project before you can schedule it (more on that below).
Compose your email as you normally would, including writing it from scratch or pulling in an email template.
Scheduling is available on the Premier plan. If you're on Starter, opening the schedule-send option shows an upgrade prompt instead of the scheduling options.
The email must be assigned to a project. If no project is selected, the schedule-send option shows Scheduled send unavailable with a note to assign the thread or email to a project first.
Once your email is ready, click the chevron-up button next to the Send button. This opens a popover with your scheduling options:
Later today at 1:00 PM: shown only when the current time is before 1:00 PM
Tomorrow morning at 9:00 AM: shown instead once it's at or after 1:00 PM
Next Monday at 9:00 AM: always available
Custom time: opens a date-and-time picker so you can choose exactly when it sends
The two time-of-day presets change depending on when you're scheduling. If it's before 1:00 PM, you'll see the option to send later today at 1:00 PM. Once it's 1:00 PM or later, that option is replaced with sending tomorrow morning at 9:00 AM instead, so you're never offered a same-day time that's already passed. Next Monday at 9:00 AM is always available regardless of the time.
Click any preset to schedule the email immediately. Your composer closes and a confirmation pop-up appears.
Schedule the email to send at a specific date and time
If none of the presets fit, you can choose an exact date and time instead.
In the schedule-send popover, click Custom time.
In the Custom time view, select your date and time.
Click Schedule to confirm, or Cancel to back out.
The custom date-and-time picker is built directly into the popover, so you can set an exact send time in one step without adjusting anything after the fact.
Where your scheduled email lives
Once scheduled, your email becomes a single-action flow on the project, named "Delayed Email - [subject]…" (the first 15 characters of your subject line). You can find it on the project's Flows tab or on the global Flows page. Knowing this is where your scheduled email lives helps you find it again if you need to edit or cancel it.
Edit a scheduled email
You can change the send time or the email content any time before it goes out.
Open the project's Flows tab (or the global Flows page).
Select the "Delayed Email" flow.
Click the Edit button (pencil icon) in the flow header to open the flow editor.
Update the send time and/or the email content as needed.
Since your scheduled email is just a flow on the project, you can manage it alongside everything else on that project's flows.
Cancel a scheduled email
If you decide not to send the email after all, you can cancel it by deleting its flow.
Open the project's Flows tab (or the global Flows page).
Select the "Delayed Email" flow.
Click the Delete button (trash icon) in the flow header.
In the Delete flow? confirmation dialog, click Delete to confirm.
Deleting the flow permanently cancels the scheduled email. Once it's deleted, it cannot be recovered.
Why can't I schedule an email with an attachment?
Emails with attachments can't be scheduled. If you try, you'll see a message letting you know that drafts with attachments can only be sent immediately, so attaching files to an email only works when you're sending right away.
If you need to send a file such as a PDF along with a scheduled email, you can upload the PDF as a form instead of attaching it directly, and then link that form in your email. This way, the email itself has no attachment and can still be scheduled, while your client gets the file through the form link.
You can take the same approach with other files types: upload your attachment to a service like Google Drive or Dropbox, and include the share link in your email instead of attaching it directly.
