Using task boards

How to create, organize, and share task boards to visually manage your work and collaborate with clients.

Visualize and organize your tasks with a flexible, Kanban-style board: track internal to-dos in columns, drag work through stages, and share a board with your client when you want them in the loop.


Overview of task boards

Task boards give you a visual, column-based way to organize your tasks. They're built for manual organization, not automation: task boards don't interact with flows or Zapier, so nothing on a board triggers other actions in your workspace.

You can create task boards for general use across your workspace, or build project-specific boards that live inside individual projects. Project-specific boards can also be shared with your client through the client portal.


Accessing task boards

You can reach task boards from two places: your workspace's main Tasks area, or from inside an individual project.

To access task boards from the main navigation:

  1. Click Tasks in the left-hand navigation menu.

  2. Click the Task boards tab near the top of the page.

To access task boards from within a project:

  1. Open the project from your Projects list.

  2. Click the Tasks tab at the top of the project.

  3. Click Task boards.

From Tasks ➔ Task boards, the board list appears on the left side of the screen. Click any board to view its columns and tasks in the main area. When you're viewing task boards from within a project, only boards applied to that project appear in the list.

Project-specific boards show the project name above the board title in the list, but only when you're not already viewing boards from inside that project. Brand-wide boards don't show a project name, since they aren't tied to any single project. That's the easiest way to tell the two apart.


Creating a task board

You can create a task board from the main Tasks area or from within a project, and the two paths work a little differently.

Creating a brand-wide task board

  1. Navigate to Tasks ➔ Task boards.

  2. Click the + icon at the top of the Task boards list. Dubsado creates the board right away and opens it for you to build out.

  3. Enter a name for the board in place of the Board name placeholder.

  4. Click Add Column and enter a name in the Column name field to create your first column.

  5. Click Add task within the column to create your first task.

You can add more columns by clicking Add Column again, and add more tasks by clicking Add task within any column.

Creating a task board within a project

  1. Open the project where you want the board.

  2. Click the Tasks tab, then click Task boards.

  3. Click the + icon at the top of the Task boards list. This opens the Create New Board dialog.

  4. Enter a name in the Board name field to start from scratch, or use the Copy from existing board (optional) dropdown to select a brand-wide board to copy.

  5. Click Create (or Copy Board if you selected a board to copy from).

Copying from an existing board brings over all of that board's columns and tasks. The original board is unchanged.


Working with columns and tasks

Once a board exists, you can add and rearrange columns, create tasks, and open the same task details panel you'll find elsewhere in Dubsado.

Adding and editing columns

  • Click Add Column to create a new column.

  • Click a column's header to rename it.

  • Drag column headers to reorder columns on your board.

Adding and editing tasks

  • Click Add task within any column to create a new task.

  • Click an existing task to open its task details panel.

Task details panel

The task details panel is the same one documented in Creating and managing tasks, so if you've used it elsewhere in Dubsado, it will look familiar. From the panel, you can set:

  • The task body

  • A Due Date (optionally, check Include time to add a specific time)

  • The Project the task is associated with

  • The Column the task belongs to on this board

  • Private Task: only visible to you and cannot be assigned to others. Turning this on clears any assignee already on the task

  • Assigned to: who the task is assigned to (hidden while Private Task is on)

Click Save to apply your changes. Once a task is saved, you can also open its Comments & Files tab to add notes or upload attachments.

Drag and drop

Drag and drop tasks within a column or between columns to move them through stages as work progresses.


Copying a task board to a project

Only brand-wide boards, boards not associated with a project, show the option to copy into a project.

  1. Select the brand-wide board you want to copy from your Task boards list.

  2. Click the Copy to project icon in the board's header.

  3. In the Copy Board to Project dialog, select a project from the Project dropdown.

  4. Click Create.

This duplicates the board, along with its columns and tasks, into the project you chose.

Copying creates a duplicate of the board inside the project. Your original brand-wide board stays in the Task boards list.


Managing task board privacy

Privacy controls, which decide whether a board is visible to your client, are only available on boards that are associated with a project. Brand-wide boards don't have a privacy control until you copy them into a project.

To change a board's privacy:

  1. Open the task board from within its project.

  2. In the project subheader, click the dropdown showing the board's current visibility, either Private or Client.

  3. Select one of the following:

    • Private: Only team members can view and edit the board.

    • Client: Anyone with access to the client portal for that project can view and edit the board.

Sharing a board to the client portal shares all of its tasks, not a select few, so clients see everything on that board once it's set to Client. When a board is set to Client, portal users can view, add, and edit tasks, upload files, and mark tasks as complete.

Setting a board to Client shares every task on the board with anyone who has access to that project's client portal. If there's anything the client shouldn't see, keep it on a Private board, or mark the individual task as a Private Task.


Filtering, sorting, and managing boards

Above the board list, you can sort and filter to find a specific board more easily.

  • Sort: Order the list by Title.

  • Filter: Filter the list by title keywords or by associated project. The project filter isn't shown when you're already viewing boards from within a project.

Duplicating a board

Click the Duplicate icon in the board's header to create a copy of the current board, including all of its columns and tasks. The copy is named with " - Copy" added to the end of the original board's name.

Deleting a board

Click the Delete icon in the board's header, then confirm in the dialog that appears.

Deleting a task board is permanent and cannot be undone. All columns and tasks on the board are removed along with it.


FAQ

Why aren't my board tasks appearing in the main Tasks list?

A task created on a board only appears in your main Tasks list if it has a due date, an assignee, or both. Otherwise, it stays board-specific and only shows up within its own task board.

I copied my task board to a project, but the original board seems to be gone. Where is it?

The original board is still in your Task boards list. Copying a board to a project creates a duplicate inside that project; it never moves or removes the original.

When I change a task's project, it warns me the task will be removed from the current board. Why?

A task can only belong to one project's board at a time. If you reassign a task to a different project, it's removed from its current board. If you want it on the new project's board too, add it there separately.

My client can't see the task board in their portal. What should I check?

Confirm the board's visibility is set to Client, not Private, that the board is associated with the project, and that the client has active client portal access for that project.

My client can see the tasks but can't interact with them. How do I fix this?

Check the board's privacy setting. When it's set to Client, clients can view, add, and edit tasks, upload files, and mark tasks as complete. A Private board blocks all client interaction.

Can I share just one task on a board with my client, instead of the whole board?

No, visibility is set per board, not per task. Setting a board to Client shares every task on it. For anything the client shouldn't see, keep it on a Private board, or mark the individual task as a Private Task.
