What gets synced to my client's portal?

A categorized list of what syncs to your client's portal automatically, what syncs after you send it, and what never appears.

Certain items you add to a client's project automatically sync to their client portal, while others only appear once you send them, and some never appear at all. Here's exactly what your clients can and can't see.

The client portal draws directly from the project you're working in, so what shows up there depends on what you've added and how you've shared it.


Automatically synced

These items appear in the portal as soon as you add them, with no action required on your part:

  • Invoices: unpaid invoices appear in both the home and projects tabs. Paid invoices appear only in the projects tab.

  • Client information: in the profile tab.

  • Project name: in the projects tab.

  • Project date and time: in the projects tab.

  • Appointments and appointment schedulers: in the projects tab.


Synced after sending to the client

Forms marked with a Needs sending badge don't show up in the client's portal until you share them. Share a form using Send (emails the form to your client and applies it to the portal) or Apply to portal (applies it to the portal only, with no email). Both options are in the form's Share dropdown.

Once you send or apply a form, it appears in the portal alongside these other items:

  • Questionnaires, proposals, contracts, and sub-agreements: incomplete forms appear in both the home and projects tabs. Completed forms appear only in the projects tab.

  • External links: in the projects tab.

  • PDFs: in the projects tab.

  • Emails: in the emails tab.

  • Public task boards: in the projects tab. A task board is shared to the portal by setting its visibility to Client (the alternative is Private). Once a board's visibility is set to Client, anyone with access to the client portal can view and edit it.

Sharing a task board to the portal is all or nothing. Setting a board's visibility to Client shares every task on that board, and there's no way to share a board while keeping individual tasks hidden.


Not seen by clients

The following items stay private to you and never appear in the client portal:

  • Tasks: individual tasks are never client-visible on their own. A task only becomes visible when its whole board's visibility is set to Client, as described above.

  • Notes and call logs

  • Custom fields

  • Project tags

  • Lead capture forms


Removing items from the portal

Deleting an item from the client's project automatically removes it from their portal too.
