Every team member in your workspace controls their own Dubsado notifications. From your Settings ➔ Notifications page, you decide which events you want to hear about and whether each one reaches you by email, in your web browser, or not at all.
How notifications work for team members
Notification settings are personal: each team member manages only their own, and there's no shared page listing what everyone else has set up. If you belong to more than one workspace, you'll set up your notifications separately in each one, since your preferences don't carry over between workspaces.
Your notification preferences are personal and specific to each workspace. Team members can't see or change each other's notification settings, and the preferences you set in one workspace don't carry over to any other workspace you have access to.
Opening your notification settings
Click your username, then click Settings, and select Notifications from the Account settings group. This page is available to Owner, Admin, and Basic team members. Accountant team members don't have access to it.
Setting up your notifications
The Notifications page has two parts: a card for choosing where your email notifications go, and a longer list of the specific events you want to hear about.
Choosing your notification email
The Notification email card lets you choose where your email notifications are sent. Enter the address in the Send email notifications to field. This can be different from the email address you log in with and from the email account connected to your workspace. Click Save to apply the change. This field doesn't save automatically.
Choosing which notifications you receive
Below the email card, you'll find a list of notification events grouped by category:
Workflow: Workflow action needs approval
Team assignments: Project assigned to me, Task assigned to me
Contracts: Contract signed
Invoices: Payment received, Automatic payment failed
Forms: Form completed, Form draft saved, Lead capture form completed
Scheduling: Appointment booked, Appointment rescheduled, Appointment canceled
Each event has its own switch, plus Email and Web browser checkboxes. Turning an event's switch on enables that notification (the Email checkbox turns on automatically) and unlocks both checkboxes so you can choose how you want to be notified. Turning the switch off silences that event completely, and its checkboxes become uneditable until you turn it back on. These settings save automatically as you make changes, so there's no Save button for this section.
To receive web browser notifications, make sure notifications are allowed for Dubsado in your browser's settings.
How your role affects what you see
Which notification categories you see depends on your role. If your role doesn't give you access to an area of Dubsado, you won't see notification settings for it either. For example, a Basic team member without invoice or contract access won't see the Invoices or Contracts categories.
Basic team members only receive notifications for projects and tasks they're assigned to. If a form is completed on a project you're not assigned to, you won't be notified, even if the Form completed toggle is on.
If you don't see a notification category, like Invoices or Contracts, your role doesn't include access to that area. Ask your workspace owner or an Admin to adjust your role or permissions.
FAQ
Can I use a different email for notifications than the one I log in with?
Yes. The Send email notifications to field is independent of your login email and your connected email account, so you can send your notifications wherever works best for you.
Why can't I see all the notification categories another team member sees?
Notification categories are based on your role. You'll only see categories for areas of Dubsado your role gives you access to. If you're a Basic team member, you'll also only receive notifications for projects you're assigned to.
I turned on a notification but I'm not receiving browser notifications. Why?
Web browser notifications only work if you've allowed notifications for Dubsado in your browser's settings. Check your browser's notification permissions and confirm Dubsado is allowed there.
Does Dubsado send text (SMS) notifications?
Not on its own, but you can use a Zapier integration to receive SMS notifications for new leads and client payments. Zapier is available under Settings ➔ Third-party connections.
If I change my notification settings in one workspace, does it affect my other workspaces?
No. Notification settings are specific to each workspace, so you'll need to set them up separately anywhere you work.
