What a team member is in Dubsado, the roles you can assign, what team member access does and doesn't include, and how team plan pricing works.

Team members let you securely give an assistant or teammate access to your workspace using their own login, so they can help run your business without ever seeing your password, and you can revoke that access at any time.


What a team member is

A team member is an additional user you invite to your workspace. They create their own free Dubsado account and log in with their own credentials, and you control what they can see and do by assigning them a role. You can invite a team member by email at any time, and if they already use Dubsado elsewhere, the invite goes to the email address tied to their existing account.

Every team member is assigned one of three roles: Basic, Accountant, or Admin. A Basic team member has access to only the projects and tasks you assign them. An Accountant has view-only access to your invoicing and financial reports. An Admin has access to nearly everything in your workspace, with a few exceptions. Each role has its own detailed set of permissions.

Never share your Dubsado password with anyone, even temporarily. Inviting a team member is the secure way to give someone access to your workspace.


Benefits of adding a team member

If you work with an assistant or other team members in your business, adding them as team members in Dubsado lets you:

  • Securely provide access to projects and client profiles without sharing your login details.

  • Restrict access to projects, invoices, contracts, or templates by assigning an appropriate role.

  • Let an assistant or team member communicate with clients on your behalf through the workspace's connected email account.

  • Enable your team to help create templates for forms, canned emails, flows, and more.

  • Remove a team member at any time to revoke their access, keeping your data secure if you part ways.

  • Let team members customize their own notification preferences, including getting an email when you assign a task or project to them.


What adding a team member does not include

A few things are worth knowing before you add a team member.

  • Connecting additional email accounts for outgoing email. Only one email account can be connected per workspace, so team members can't send messages from their own email account inside your workspace. They can still see client replies inside Dubsado.

  • Scheduling with specific team members. The scheduler only uses the workspace owner's connected calendar. You can't build a separate scheduler for each team member or automatically assign appointments based on a team member's availability. Team members can connect their own calendars to their accounts, but those calendars won't drive scheduler availability.

  • Robust task management and internal document collaboration. Dubsado is built around communicating with your clients, not replacing dedicated team collaboration tools. Some teams find the simplicity of Dubsado's tasks works well for them, while others prefer a dedicated platform for internal task management.


Pricing

With a paid plan, you can add up to three team members for free, in addition to you, the workspace owner. Beyond that, adding more team members comes with an additional monthly fee based on your team's size:

  • First 3 team members: free

  • 4 to 10 team members: an additional US$25/month

  • 11 to 20 team members: an additional US$45/month

  • 21 or more team members: an additional US$60/month

FAQ

I'm on a trial. Can I add team members?

Yes. Trial accounts can invite up to three team members, the same as a paid account.

Does each team member need to pay for their own Dubsado account?

No. Each team member creates their own free Dubsado account, but they don't need a paid subscription of their own. If the person you're inviting already has a Dubsado account, send the invite to the email address tied to that existing account.

Do I need to add my clients as team members?

No. Your clients don't need to log in to your workspace to access the forms and invoices you send them, and with a paid plan there's no limit to how many clients you can add. Team member access is like handing over the keys to your back office, so reserve it for people who actively help run your business.
