Invite a team member to join your workspace

How to invite a team member to your workspace, choose their role, walk them through accepting the invite, and edit or remove a team member later.

If you work with an assistant or other team members, inviting them as a team member is the most secure way to give them access to your Dubsado workspace. This article covers how to send an invite, choose a role, accept an invitation, and remove a team member.


Before you begin

Before you invite a team member, make sure you have a couple of things ready.

  • A paid Dubsado plan or an active trial. Trial workspaces can invite team members too, up to the same limit as a paid plan.

  • You can add up to three team members for free.

  • The email address of the person you want to invite. If they already use Dubsado, send the invite to the email address tied to their existing account.

Your team member doesn't need a paid Dubsado account of their own. A free account is enough for them to accept your invite.


Invite a team member

To invite a team member:

  1. Navigate to Settings ➔ Team members.

  2. Click Invite a team member. Once you already have at least one team member, this button reads Invite new member instead.

  3. In the Invite a team member modal, enter the person's email address in the Team member's email field.

  4. Choose a role: Basic, Accountant, or Admin. A short description of the selected role appears next to your choice. For the full breakdown of what each role can see and do, see the role and permissions article.

  5. If you select Basic, a Basic member permissions section appears with additional access you can grant: Contracts, Invoices, and Templates.

  6. Click Send invite.

Once you send the invite, the team member appears in your Team members list with a Pending invitation status until they accept.

You can also organize team members into Groups from this same page, which is useful for assigning projects or tasks to several team members at once.

Roles determine what a team member can see and do inside your workspace. Review the role descriptions carefully before sending the invite.


Accept an invitation

Dubsado emails the invite from your connected email address. Here's what your team member needs to do:

  1. Sign up for a free Dubsado account, or log in if they already have one.

  2. Once logged in, they'll see your workspace listed among their invites. Clicking it accepts the invitation.

  3. After they accept, they appear under Settings ➔ Team members with the role you assigned them.


Edit or remove a team member

You can change a team member's role or permissions, or remove their access completely, at any time from Settings ➔ Team members.

Editing a team member

  1. Head to Settings ➔ Team members.

  2. Click the team member's row, or open their action menu (three dots) and choose Edit member.

  3. In the Edit team member modal, change their Role or adjust their Basic member permissions.

  4. Click Save.

Removing a team member

  1. Head to Settings ➔ Team members.

  2. Open the team member's action menu (three dots) and choose Remove from team.

Removing a team member revokes their access to your workspace immediately, and there's no confirmation step to undo it. Make sure you mean to remove them before choosing Remove from team.


FAQ

Do my team members need to pay for their own Dubsado account?

No. They only need a free Dubsado account to accept your invite. If they don't already have one, they can create it when they open the invitation email.

My team member can't find where to accept their invitation.

Make sure they're logged into their Dubsado account. Once logged in, they can accept your invite from their list of workspaces.

I sent an invite and it wasn't received.

Can I change a team member's role after inviting them?

Yes. Head to Settings ➔ Team members, open their action menu (or click their row), choose Edit member, and update their role or permissions.

Can team members control their own notifications?

Yes. Each team member can set their own notification preferences for whatever areas of Dubsado their role gives them access to.
